As an Administrative Assistant, you will be responsible for providing general support to a department or group of Relativity professionals. The role works under steady direction of managers and senior team members. In this position, you will be responsible for making travel and meeting arrangements, preparing reports and maintaining appropriate filing systems. The Administrative Assistant should ensure the efficient and smooth day-to-day operation of the leader’s office.

Responsibilities

• Answer and direct phone calls
• Organize and schedule appointments
• Plan meetings and take detailed minutes
• Write and distribute email, correspondence memos, letters, faxes and forms
• Assist in the preparation of regularly scheduled reports
• Develop and maintain a filing system
• Update and maintain departmental policies and procedures
• Maintain contact lists
• Book and manage travel arrangements
• Submit and reconcile expense reports
• Provide general support to visitors
• Act as the point of contact for internal and external clients
• Liaise with other administrative assistants to handle requests and queries from senior managers
• Participate in event planning and support 
• Perform all reception area duties such as receiving incoming calls, taking messages, accepting deliveries, and greeting visitors
• Assist with meeting setup, which includes moving tables and chairs as needed
• Support other administrative team members
• Various projects as assigned

Qualifications

Minimum Qualifications:

• Ability to work overtime on occasion 
• Bachelor’s degree and at least one year of experience supporting a mid to large sized business in a general office/administrative capacity or Associates Degree/BA/BS or at least three years of experience supporting a mid to large sized business in a general office/administrative capacity

 

Preferred Qualifications:

• Exceptional written and oral communication skills; excellent grammar, editing, and proofreading skills
• Excellent skills in Microsoft Office Suite, including Outlook, Excel, Word, and PowerPoint
• Professionalism, poise, punctuality, and reliability
• Exceptional formatting and document preparation skills
• Demonstrates initiative, is an independent thinker, self-starter, and a problem solver
• Ability to adapt to changing priorities and project deadlines
• Attention to detail
• Excellent time management skills and the ability to prioritize work
• Attention to detail and problem solving skills
• Strong organizational skills with the ability to multi-task
