 THE OPPORTUNITY:

 

VelocityEHS Project Coordinators for Authoring Services set client expectations and then exceed them. They do this by first understanding the services the client purchased as well as the client’s goals and unique set of circumstances. Then they craft the plan, and execute against the plan in a manner that leads to exceptional client satisfaction. The Project Coordinator for Authoring Services bridges the gap between the VelocityEHS Authoring staff – busy creating the documents – and the client, eager to receive their freshly authored MSDS.

PRIMARY DUTIES AND RESPONSIBILITIES:

 

This is an important position that manages Authoring services projects, a market hot and exciting at the moment due to recently enacted GHS standards. This person will work closely with Sales, Product Management and MSDS Authoring staff to ensure repeatable business and top quality deliverables. The right candidate will have experience working with demanding deadlines and high-priority projects while creating and maintaining long-term relationships with clients and vendors. 

 

Key Responsibilities include but aren’t limited to:

 

·         Concurrent management of new and recurring MSDS Authoring service projects; serve as the main point of contact for customers during a project’s duration; confirm/redefine scope; establish project timelines; obtain necessary files/information (product information, etc.) from customers; coordination with authoring staff and/or vendors; ongoing project communications/updates; ensure timely project delivery within established quality guidelines; obtain client acceptance; management of necessary edits, etc.

·         Collect and document various project metrics and data, such as: hour tracking, recording actual project deliverables, project statuses or phases and their percentage of completion, customer correspondence, saving project files; invoicing prompt information, etc.

·         Collaborate with Client Services Manager and Product Management staff to edit and manage the VelocityEHS Authoring Production Schedule, according to VelocityEHS SOP, and in a manner that maximizes the utilization of VelocityEHS Authoring resources

·         Resolve issues or concerns (cancel requests, scope misunderstandings, additional project charges, authored MSDS concerns, etc.) that may arise during a project, either directly or by collaborating with applicable VelocityEHS staff (Sales, MSDS Authors, Authoring Product Manager, Client Services Manager, etc.)

·         Act as subject matter expert for the authoring service as well as the authoring landscape in general; ensure all client questions or concerns are addressed and resolved in a timely fashion

·         Develop rapport with recurring Authoring services project clients; be aware of new service opportunities and collaborate with Sales to secure work

·         Possible periodic collaboration with third-party vendors to fulfill some client services project deliverables

·         Help to establish Authoring Services SOPs and best practices in a manner that maximizes client satisfaction and VelocityEHS operational efficiencies

·         Provide outstanding customer service and communication to all clients that exceed expectations

·         Organizes and facilitates project meetings with clients via phone or web conferencing tools

·         Communicates regularly with Management and other internal departments to share results

 

SKILLS/QUALIFICATIONS/WORKING CONDITIONS:

 

Minimum Skills & Qualifications

·         Bachelor’s degree or 1+ years relevant work experience

·         Proficient in Microsoft Outlook, Word, and Excel

·         Proficient with Internet Browsers (primarily Internet Explorer)    

·         Strong verbal and written communications skills

·         Experience in a role that requires attention to detail and strong organizational skills

 

Preferred Skills & Qualifications

 

·         Bachelor’s degree in an appropriate discipline

·         1+ years of related professional experience, preferably in a customer support or project role.

·         Experience with CRM (SalesForce.com)

·         Customer-driven personality with proven ability to establish client rapport

·         Self-sufficient, self-motivated, and dependable

·         Effective team player and quick learner

·         Experience effectively multi-tasking and prioritizing daily responsibilities

·         Experience taking ownership of issues/projects and following through to completion

·         Familiarity with chemicals and/or MSDS
