While Executive Assistants at other companies function somewhat independently, the Executive Assistants at Groupon are part of a small, nimble team of laser-focused, quick-thinking professionals who keep our executives on schedule, on budget, and on an even keel. Each Executive Assistant is designated to a specific executive or group of C-level leaders, yet when an EA needs a little (or a lot of) extra help, the rest of the team is quick to lend a hand.

We are looking for an Executive Assistant to support a C-level leader. Candidates with experience supporting high level executives in enterprise-level and/or global companies will be considered. We are looking for an Executive Assistant to support our Chief Operating Officer.

Core responsibilities include:

  • Heavy scheduling and calendar management

  • Preparing and editing correspondence, communications, presentations and other team and company-wide messages

  • Organization and planning team all hands meetings and outings, including offsites, and planning summits

  • Travel arrangement -domestic and international travel

  • Monitoring, responding to and distributing individual and group communications

  • Coordinating speaking engagements internally and externally

  • Organizing meetings (food orders, materials, room assignments, calendar invites)

  • Managing invoice payment and expense reports

  • Additional administrative work as required, including document management, and coordination with other executive assistants and administrative staff to ensure processes run smoothly.

  • Ability to adapt and adjust coverage as needed

Requirements:

  • 5 years of recent experience in an executive support role preferably within a large organization

  • A high level of discretion and maturity

  • Proven track record of handling complicated or confidential situations with discretion and maturity

  • Excellent with Google Suite, Power Point, and calendar management skills so sharp you make Kronos jealous

  • Impeccable coordination skills, including experience executing complex meetings across numerous internal and external contacts

  • An entrepreneurial approach to task management: you're proactive and own tasks from start to finish, while understanding the value in collaboration and humility

  • Sense of humor or sense of style. Choose one.
