Job Description

Working at the company’s headquarters in Chicago, the Office Administrator is the first person SilkRoad employees and visitors meet upon arriving at the office.  Therefore, it is vital for this individual to be an extremely outgoing and dependable, with a constant “can do, will do” attitude. This position offers the ability to learn new skills and work with various departments within the company while providing general administrative support for the Chicago office.   

 

The qualified candidate will perform various duties including, but not limited to:

 

  • Performing all reception area duties; greeting and directing visitors, answering and responding to calls and messages. 
  • Conducting general administrative support for the office including the scheduling of offices and meeting rooms, managing mail flow, creating documents, filing, copying, scanning, data-entry, mass-mailing support.
  • Maintaining office appearance and organization; coordinating office and kitchen supply orders.
  • Providing administrative support for executives and management including document flow, mailings and coordination of meeting space.
  • Providing local support for on-site meetings, including conference room scheduling, catering orders and reservations.
  • Assisting Human Resources with new hire onboarding, employee offboarding, wellness programs, service recognition program and other tasks.
  • Acting as a company liaison with building management, office equipment vendors and service vendors.
  • Organizing and coordinating special events for the office.
  • Running local errands as needed.

 

Required Skills
  • Strong organizational skills with the ability to prioritize, multi-task and meet deadlines.
  • Excellent interpersonal, written and verbal communication skills.
  • Detail-oriented with excellent problem resolution abilities.
  • Proficient with MS Office applications (Outlook, Word, Excel) with the ability to quickly learn new technology.
  • Dependable, responsible self-starter that can work independently with minimal supervision.
  • Ability to work with and maintain confidential and sensitive information.
  • Strong customer service skills and the ability support a diverse group of teams within the company.
Required Experience
  • High school diploma or equivalent required; Associate’s or Bachelor’s degree is preferred.
  • One year of experience in a receptionist or administrative position is preferred.
  • HR experience is preferred.
  • Notary public certification is preferred.
