We are looking for a Office Manager in our Evanston IL office. Candidates must be ready to excel in a fast-paced environment, be personable and comfortable on the phone, and quickly learn about our processes. A pro with computer programs like Microsoft Office Suite with the ability to navigate web applications is important. Prior Office Management experience is preferred.
Office Duties:
- Manage the office environment, take responsibility of administrative needs to ensure adherence to quality standards, deadlines, and proper procedures, correcting errors or problems.
- Vendor management: property manager, cleaning crew, audio/video maintenance, etc.
- Re-stock kitchen and ensure it is clean and orderly on a daily basis
- Place weekly office supplies, weekly office lunch, and Peapod Orders
- Plan and coordinate all office outings and events
- Sign for and distribute all mail and packages
- Receive and greet all guests and interviews
- Update internal email groups with new hires
- Order business cards for entire company
- Order refreshments for sales orientation class and other meetings as needed
- Book all Sales Reps flight, hotel rooms, transportation and occasionally other individuals within the company
- Coordinate with HR team in KS with any HR support needs for Evanston employees
- Host monthly Job fairs
- Prepare invoices, reports, memos, letters and other documents, using relevant office programs.
- Attend meetings to record minutes.
- Read and analyze incoming memos, submissions, and reports to determine their significance and plan their distribution.
- File and retrieve corporate documents, records, and reports.
- Occasionally assist in implementation of new, updated corporate or departmental policies, procedures, and service standards in conjunction with management.
