Payroll/AP Coordinator
SpotHero is seeking a Payroll/AP Coordinator to take the lead in performing all duties necessary to process accounts payable invoices and bi-weekly payroll. An integral member of our Finance & Administration Department, you will maintain related records and voluntary deduction reports, process involuntary deductions such as levies and garnishments, prepare accounting transactions and documents, document and update procedures, and prepare special reports for management. You’ll be responsible for owning all aspects of SpotHero’s payroll administration and become a trusted resource to all team members.

What you’ll do:
Payroll:
- Ensure timely processing of all staff payroll in accordance with labor regulations and standard accounting principles.
- Develop systems and protocols to direct the collection, calculation, and entry of pay data.
- Assist team members in training and troubleshooting, including general questions related to payroll, leave accruals, wage deductions, fringe benefits, and other pay related issues.
- Work with ADP to solve technical issues with time reporting systems and resolve any discrepancies resulting from glitches or malfunction of the time reporting hardware.
- Keep abreast of current payroll tax requirements and relevant laws associated with the processing of employee wage data, including payroll taxes, employee federal and state income and social security taxes, and other required reporting (SUI, workers compensation, deferred benefits, etc.)
- Process any municipal reporting necessary for all states SpotHero team members work from.
- Process wage garnishments, pay levies, and other involuntary court-ordered payments in a timely manner, including reporting to the necessary State office or jurisdiction and assisting employees with general process questions.
- When asked, "What does your daily planner look like?", answer with "SpotHero".
- Conduct regular payroll reporting as needed and assist with financial audits related to pay records and associated general ledger.
AP expense and travel:
- Maintain accounts payable invoices within the company’s accounting software (Intacct).
- Prepare and process payments for all outside vendors.
- Verify approval on all invoices or check requests via Concur platform.
- Verify invoice, expense, and payment coding via Concur platform.
- Update and maintain Concur invoice, expense, and travel system.
- Audit and verify expense reports based on company policies.
- Perform other related duties and/or projects as assigned.

Pre-requisites:
- Associate’s degree preferred.
- 3 years experience in a payroll accounting role, including 1-3 years experience processing accounts payable invoices with preferred experience in Intaact accounting system.
- Experience processing payroll using ADP. Experience in ADP WorkForceNow preferred.
- Familiarity with Concur’s invoice, expense, and travel platforms.
- Proven organizational skills with high attention to detail and ability to successfully manage competing demands.
