What you'll do:

Shiftgig is seeking a Payroll Manager at our Corporate Headquarters in Chicago, IL. As Payroll Manager you will report directly to the Controller, and have the primary responsibility of managing multi-state weekly payroll for about 3,000 U.S. employees for multiple subsidiaries using ADP. This position will work closely with Accounting and Human Resources, partner providers, and internal clients.

  • Manage and guarantee weekly and semi-monthly disbursement of multi-state payrolls, including special runs, garnishments, benefits, payroll deductions, and taxes to 3,000+ employees consistent with federal and state wage and hour laws
  • Partner with Accounting, HR and Product teams in aligning and implementing a more sophisticated payroll and benefits system, including journal entries, account reconciliations, reporting, integration /syncing with other systems, improving reliability of data, and other related functions
  • Critically review and analyze current payroll, benefits and tax procedures in order to recommend and implement changes leading to best-practice operations; update, communicate, and maintain Payroll Policies & Procedures for all companies
  • Manage regular preparation of relevant management reports, including weekly, monthly, quarterly and year-end reports (gross payroll, hours worked, vacation accrual, tax deductions, benefit deductions, etc.)
  • Ensure the payroll processing of new hires, temporary workers, transfers, promotions and terminations is accurate and timely
  • Supervise, coach, train and develop payroll staff, and help to educate the Operations staff on pay and wage-hour matters
  • Lead projects on payroll and timekeeping system updates, new configurations, and upgrades with internal product team
  • Communicate actively with Operations, HR and Billing to review cross-departmental impacts and reconcile data sharing and payroll related issues
  • Ensure accurate payroll record-keeping of W-2s, timekeeping, and other payroll related documents in compliance with tax and other government regulations
  • Audit W-4s, payroll balance sheets, YTD earnings, etc. and work with outside auditors, while maintaining SOX standards
  • Ensure confidentiality of payroll files, systems, and reports in compliance with various governmental regulations

What you'll need:

  • Bachelor’s degree in Accounting or Finance
  • Certification as a payroll professional (CPP)
  • At least 5 years of progressive responsibility in payroll management with tax compliance responsibilities
  • Practical Experience with ADP Workforce Now for at least 2 years, preferred
  • Experience with NetSuite systems, beneficial
  • Full-range of experience in all aspects of employee compensation, wage-hour practices, and compliance with IRS regulations related to multi-state payroll processing, including overtime and supplemental pay rules, garnishments, multi-state tax earnings, and establishing new state employer accounts
  • Knowledge of federal, state and local tax and labor laws
  • Ability to maintain highly confidential information
  • A problem solver with strong conflict resolution and critical thinking skills
  • Able to utilize creative thinking to address problems
  • Strong analytical reasoning ability
  • Must be customer service focused, collaborative, flexible, and team oriented
  • Strong organizational and active listening skills
  • Proficient at Microsoft Office Suite (i.e. Excel; Word; PowerPoint)
  • Advanced Excel proficiency using use of formulas, and functions and pivot tables in Excel is required preferred
