Recruiting and Onboarding Coordinator
THAT’S LOVELY… BUT WHAT’S THE JOB?
We’re looking for a top notch Coordinator to join our People team, to support all aspects of our recruiting and onboarding operations – scheduling interviews, taking care of candidates who come in to the office, creating onboarding schedules once folks are hired, tying balloons to the chairs of new hires, and a bunch of other fun stuff. The gig also involves assisting with event planning and special projects for everyone at the company. And when interviews, events, or other plans change at the last minute (as they tend to do at times), you’ll be the one who rearranges everything with a smile on your face so that all folks involved never knows that it took any effort to accommodate.
WHAT KIND OF SKILLS SHOULD YOU HAVE?
To do all that, we need someone who is whip-smart, super organized, detail oriented, diplomatic, quick-witted, able to multi-task and a true joy to communicate with – in person, on the phone and by email. More specifically, the gig entails…
- Playing a “Cruise Director” role with our candidates: You’ll be an important point of contact for candidates applying to Jellyvision. This includes communicating with candidates about the status of their applications (especially when we’re taking longer than we wish we were!), scheduling and confirming interviews, sending out and confirming receipt of audition materials, giving candidates directions on how to get to our office, greeting them when they arrive for their interviews (assuming your directions were any good), giving tours of the office as you get them settled in their interview rooms, and ensuring that whatever tech is necessary to be up and running on the interview room computer is actually up and running when the interview needs to start.
- Wait, what was that about auditions? Don’t worry, no tap dancing required. We create an audition for every role at Jellyvision – a skills test that allows candidates to show us, rather than tell us, how good they are at the things each job requires. Many of these auditions are written, some require coding, others require preparing a presentation – each audition is keyed to the job in question. As part of the team, you will know what each candidate needs to receive to complete the audition, when they should be returning audition materials to us, and how to identity-redact the auditions when they’re returned (we identity redact auditions before sending them to the hiring teams so that they can make unbiased decisions based on the work product). The identity redacting process means that you dole out candidate aliases on a daily basis, so start thinking of categories you can pull names from – obscure crew members from the Starship Enterprise, beat poets, reality tv stars, whatever floats your boat.
- More on scheduling interviews. For candidates early in the recruiting process, you’ll set up phone screens for recruiters and hiring managers, and for folks later in the process you’ll set up full round final interviews for entire hiring teams. We generally have a dozen searches or more open at a time, so you need to be incredibly organized to keep track of all the candidates moving through our process. And you’ll need to enjoy a lot of back and forth emailing and phone calling to get the interviews set up. The good news is that our candidates tend to be really amazing people, and Jellyvision’s recruiting process tends to be more fun than most, so the back and forth is often accompanied by witty banter, true expressions of gratitude and the occasional cupcake.
- Managing communication with applicants in a personable, “real” way. We are grateful when people take the time to apply to Jellyvision, so we try to communicate in an upfront and friendly way with everyone, including those who won’t be moving forward. We want all that back and forth emailing and phone calling to be pleasant enough way that they’ll remember us fondly in case there’s a better fit in the future.
- Posting jobs. You’ll help keep our job postings current on our website, as well as a variety of job boards. This takes more skill than it might at first appear, as the html in our postings translates differently on different posting sites, so you’ll need to be good at cleaning up any postings that get ugly when you pull them out of their happy home environment and send them out into the world.
- Onboarding. Once we’ve hired someone new, there’s a lot of behind the scenes work that goes into bringing them on board. You’ll help ensure that all the checkboxes that need checking get checked: getting new hires set up with computers and workstations, assigning them “buddies” for coffee over their first few months, working with the hiring managers to get orientation schedules created and sent out, etc., etc. You will also be a resource for new hires – and we welcome you to come up with great new ideas for how to make joining Jellyvision even more delightful.
- Fun employee stuff. After all that work to attract amazing people to Jellyvision, we do our best to keep them happy and healthy once they’re here. That means that the People team plans lots of internal and external events and wellness perks. You’ll support our Manager of People Operations in getting this stuff planned and executed – and your ideas for how to make working at Jellyvision even more enjoyable will be very appreciated.
- Helping top executives with scheduling and other admin needs. A few of our senior executives could use some extra support – things like scheduling meetings, processing expenses, making travel plans, etc. You’ll pitch in as necessary to help make their lives easier and keep things running smoothly for the folks who need to get time with them.
- Generally pitching in when folks need help. The great thing about the People team is that we get to work with every department in the company, which means we find all kinds of opportunities to pitch in. And our team includes an amazing Office Coordinator at the front desk – who can use someone to spell him from time to time when he needs a break. So we’re looking for someone who relishes the idea of “other duties as assigned” and will take it one step further to proactively find ways to be helpful across the organization.
- Ideally, at least 2 years of experience in a coordinator or administrative role
- Prior experience with scheduling (and if you are an MS Outlook whiz, that’s a bonus)
- Experience interacting and communicating with all types of people at all levels in an organization
