Job Description
As an Executive Assistant, the successful candidate will be organized, detail oriented, self-motivated, adaptable, ambitious, and driven, able to handle confidential information, and is comfortable navigating in a fast-paced environment, with a demonstrated ability to respond to changing workloads and priorities. Must be able to communicate clearly and to handle multiple assignments and people simultaneously.
Job Description :
The Executive Assistant is required to perform a range of duties to support their Executive (s) including but not limited to:

  • Help ensure leader is properly prepared and on time for all meetings, project deadlines, AIs, and deliverables.
  • Prepare or coordinate the preparation of correspondence, forms, reports, presentation materials, and other written communication as required for executive and business meetings often under tight deadlines.
  • Management of calendars and scheduling with tact and discretion for personal and work engagements.
  • Prepare and handle confidential and personnel information with trust & discretion, interface appropriately with internal and external clients, and senior executives.
  • Create meeting agendas, coordinate staff meetings, internal and external events as needed; supporting team cadences / meetings (e. g., notes / prompts for agenda items; proactively updating recurring events).
  • Invoice and Vendor Management
  • Act as main point of contact for external and internal requests, including meeting and greeting when necessary.
  • Coordinate all logistics for travel, events, meetings, etc. while ensuring accurate monthly T&E ledgers via Concur.
  • Assist with event planning and coordination for team meetings, all-hands meetings, summits, etc.
  • Manage Travel and Expenses reporting.
  • Help to drive culture and engagement in the organization where needed.
  • Ensure quality control / proofreading / editing where necessary.
  • Perform ad hoc administrative work and projects as needed.


Minimum Qualifications:

  • High school diploma required.
  • Administrative experience supporting Executives, Vice Presidents, Directors and / or Managers on their team.
  • Demonstrate the ability to support and interact with all levels of management.
  • Advanced knowledge of Microsoft Office suite (PowerPoint, Excel, Word, Outlook); Familiar with business technology including but not limited to web conferencing, TEAMS, Zoom, eRoom, SAP, Ariba, WorkDay, Concur, etc.
  • Excellent organizational, communication, and social skills with a keen attention to detail, ability to exercise initiative, work independently and proactively follow-up.
  • Ability to handle workload in a fast paced and focused work environment.
  • Experience and proficiency working with automated expense tracking, online travel etc.
  • Ability to anticipate needs and make decisions with minimal direction.
  • Task oriented and ability to drive completion of tasks within narrow timelines.
  • Ability to work overtime as needed.
  • Pois ed under pressure and flexible to adapt in a fast-paced environment.
