The Lead Payroll Specialist will administer and manage all aspects of processing payroll, including maintaining all related payroll records; tax filings; voluntary and statutory deductions; completion of payroll related accounting transactions and general ledger entries; documenting and updating payroll policies and procedures; compliance with payroll related Company and statutory policies, rules and regulations; and preparing ad hoc reporting for management as needed. This includes timely and accurately processing of all semi-monthly payrolls, ensuring all coding is set up correctly and operating effectively and efficiently. Must have the ability to work well independently. Reports directly to Accounting Director and works closely with Human Resources. Main point of contact for both internal and external customers for payroll related inquiries. This position is highly visible with access to confidential information. Advanced proficiency with ADP Workforce Now is required.
The Lead Payroll Specialist is expected to take ownership of all payroll related activities and, working with the Accounting Management, drive all decisions related to payroll.
Responsibilities include, but are not limited to the following:
- Timely and accurately process semi-monthly payrolls
- Primary point of contact with ADP ensuring all payroll codes are set up and working properly
- Lead collaboration with Human Resources to ensure accurate and complete information is processed timely
- Reconcile semi-monthly payroll and process all journal entries related to payroll
- Responsible for updating internal payroll related policies and procedures annually
- Process 401(k) contributions and adjustments, deferred payment processing, garnishments, child support payments, charity contributions, student debt, expense reimbursements, etc.
- Respond timely to inquiries from employees and taxing jurisdictions
- Work directly with external auditors to provide requested information for annual audits
- Keep abreast of current payroll related tax and benefits requirements and advise management accordingly
- Maintain payroll correspondence files in accordance with company policy
- Identify areas of improvement and create efficiencies to assist in streamlining payroll process
Qualifications/Technical Skills/Education:
- High level of proficiency with ADP Workforce Now a must
- Knowledge of Workday Human Resource Information System a plus
- Three or more years in a role requiring complex problem-solving skills
- Self-directed, ability to work on own without direct supervision
- Highest degree of organizational skills and attention to detail
- Ability to build strong internal/external customer relationships
- Knowledge of commonly used payroll and accounting concepts
- Ability to work well independently or within a group, as necessary
- Minimum 10 years’ progressive experience in processing payroll
- Experience with Oracle or related ERP systems a plus
- Proficient in Excel (VLOOK UP/SUM IF/Pivot tables) and familiar with other applications within Microsoft Office Suite (Word, PowerPoint, etc.)
- 4 yr college degree preferred
- Certified Payroll Professional (CPP) preferred
