The Accounts Payable Specialist is responsible for setting up new vendors, entering voucher information, coding invoices, generating checks, matching invoices, filing, 1099 filings and spreadsheet work. The AP Specialist will also assist with special projects as needed in the accounting department. 

Essential Duties and Responsibilities:

  • Responsible for setting up invoicing for payment based on appropriate documentation
  • Ensure proper approval of invoices before processing payment
  • Accumulate source documents and accurately match to invoices
  • Identify and reconcile discrepancies with appropriate parties before making payment to vendors
  • Track rent and utility payments for all offices
  • Communicate with vendors and departments as to the status of invoicing, payments, coding, etc.
  • Travel and Expense processing (Concur Solutions Platform)
  • Travel and Expense auditing and reporting
  • Match and file invoices
  • Spreadsheet work
  • Special projects as needed for the accounting department
  • Unclaimed property filing support
  • Support the accountants through the month-end close cycle

Qualifications:

  • High School diploma required; Bachelor’s degree preferred
  • Minimum 2 years accounts payable experience
  • Strong PC skills required, including MS Word and Excel 
  • NetSuite software knowledge a plus
  • Ability to analyze data and problem-solve
  • High attention to detail and accurate data entry skills
  • Strong written and verbal communication skills
