The Assistant HR & Office Manager is responsible for overseeing and executing relevant administrative activities for the operations function of the business, as a senior member on the Organization Development team. The primary responsibility is to manage Human Resources administration and compliance, with oversight from the CFO. However, there will be opportunities to work on a variety of projects and help increase efficiencies at One North across functions, including Marketing, Finance and other Operations departments.

Responsibilities

Human Resources Compliance & Administration

  • Responsible for HR administration and compliance, as the main point of contact for employees.
  • Owns vendor relationship with HRIS and other HR providers, such as One North’s benefits broker and insurance vendors.
  • Works closely with the Manager, Talent Development and CFO on developing and executing HR policies and procedures, change management projects and more.
  • Helps to define the structure and working relationship between Finance and HR teams, evolving the structure of responsibilities and workflow to align with industry best practices.    
  • Ensures the Employee Handbook is kept up-to-date and revised each year.
  • Manages the annual project management and execution of open enrollment with COO, CFO and insurance broker.
  • Contributes to the development and management of the new hire onboarding process, including scheduling, administering new hire paperwork and ensuring compliance, creating a strategy for new hire check-ins, and managing the logistics prior to new hire’s start with the business.
  • Runs employee engagement programs and culture building initiatives, such as free lunches (gratis grub), happy hours and intermittent office activities and events.
  • Builds and manages the HR budget, including forecasting for HR compliance needs that will evolve as the business scales.

Operations Management

  • Coordinates and manages scheduling for Lunch & Learns or other internal presentations that contribute to One North’s employee learning & development strategy.
  • Manages business card ordering and headshot scheduling.
  • Supports Marketing with event planning and logistics.
  • Manages the administration of and strategy for onboarding, role changes and offboarding for all employees and contractors, evolving the process to be efficient and compliant with security obligations.
  • Works to achieve and maintain ISO compliance with the technology operations and security team.

Office Management

  • Oversees the day-to-day office needs and creates a plan for long-term sustainability of responsibilities such as office cleanliness, office standards and rules and other potential office needs that would arise as the business grows.  
  • Manages reception responsibilities, such as front desk coverage, mail distribution, etc.
  • Leads relationships with building facilities team and vendors, and manages office requests submitted by employees (ordering ID badges, communicating building announcements, etc.).
  • Schedules and manages set-up of bi-weekly All-Company Meetings alongside One North’s CEO.
  • Manages a fixed budget for office inventory and creates automations where manual work could be eliminated, such as ordering supplies and beverages.
  • Orders food and snacks for meetings and special occasions that are company-wide, such as security training or other intra-office events.
  • Manages inner-office communications through email announcements, lounge monitors and other special requests.
  • Maintains a positive attitude and drives the elevation of employee morale through every interaction, exemplifying leadership and being a role model for optimism and loyalty to the business.
  • Trains, mentors, and has the opportunity to manage future Organization Development team members.

Qualifications/Skills/Requirements

  • 3-6 years of Office Management & Administration experience
  • Bachelor’s degree in Human Resources or HR certification
  • Mentorship or Management experience preferred
  • Attention to detail
  • Thoughtful, proactive approach to projects
  • Organization skills; our business moves quickly and requires multitasking and prioritizing
  • Self-starter who can manage workload effectively with competing demands for time, comfortable working autonomously
  • Strong written and oral communications
  • Strong proficiency with Microsoft Office Suite

Location

Our office is located downtown Chicago at the corner of Franklin & Monroe streets. However, we're currently working together remotely.
