Job Description

The Opportunity: We are looking for a well-rounded People Ops Specialist to join our team. We are building an infrastructure made up of programs, processes, and tools to support and enable headcount growth and people development. The People Ops Specialist will collaborate closely at all levels and throughout the company to help deliver and provide a ‘people-first’ employee experience at Vendavo.

  • Administer the US Payroll (Semi-monthly), which includes, maintaining employee records in ADP, approving Employee and Manager self-service requests, processing Time and Attendance exception pay, uploading garnishments into Smart Compliance. This includes:
    • Creating and submitting import file to ADP Payroll Processor
    • Auditing payroll preview for accuracy before accepting the payroll
    • Completing post payroll processes, which includes payment and reconciliation of voluntary deductions
    • Facilitating Quarter and Year End processes, such as Tax & W2 reconciliation and providing Accounting partners with completed reconciliation for GL reconciliation
    • Partners with ADP to process and audit pay adjustment, garnishments, tax notices runs to ensure all information is included in the employee record prior to the deadline set by ADP
  • Administer the International Payroll, which includes:
    • Process required information to International Payroll Contact for the following countries (Sweden, Germany VAB, Finland, Germany VUK, Netherlands, United Kingdom)
    • Review and approve the payrolls and completing post payroll processes, such as submission of AVIVA Pension for UK and submitting the necessary reports for funding
    • Auditing payroll preview for accuracy before accepting the payroll
    • Facilitating Quarter and Year End processes
    • Partner with ADP Streamline/local provider to process any necessary adjustment runs to ensure all information is included in the employee record prior to the deadline
  • Update all systems with any changes to ensure data integrity.
  • Complete all PAN forms for any moves, changes, new hires and/or terminations,
  • Complete all monthly and quarterly reporting, timely and accurately.
  • Participate in annual salary survey reporting activities
  • Assign all onboarding and offboarding tasks through Jira ticket administration
  • Responsible for all Electronic employee data and file maintenance
  • Manage HR/Payroll Email Box
  • Facilitate the Employee Engagement Survey
  • Administer all P&C Systems (i.e. ADP, Lattice, Vendavo University, Radford, PayScale, Culture Amp, etc.)

Qualifications

  • Bachelor’s degree in a related field, or equivalent combination of education and experience
  • 5 years of experience in the HR/Payroll related field. Minimum of 3 years administering HRIS and other HR related systems and performing HR operations related duties
  • FPC certification, preferred
  • Highly proficient with the ADP WorkForce Now and Streamline platforms 
  • Strong attention to details
  • Strong working knowledge of MS Excel
  • Possess an employee experience mindset
  • Excellent written and verbal communication
  • Ability to demonstrate good judgment, discretion, and problem-solving skills
  • Maintain a high level of professionalism and confidentiality.
  • Proven ability to effectively and respectfully work with individuals at varying levels within an organization
  • Outstanding interpersonal, oral, and written communication skills
