Job Description

 

The Recruiting Coordinator plays a key role in supporting the Talent Acquisition team in their efforts exceed business demands to recruit the best talent possible for SMS Assis. This position plays an important role on the fast-paced recruiting team.  The individual mush excel in a fast-paced environment, have excellent communication and organizational skills, and be passionate about people and their career goals.

 

Core Responsibilities

 

·Provide overall administrative support for Talent Acquisition team 

·Responsible for maintain the [email protected] inbox and ensuring proper follow up for all emails received

·Must update the internal application tracking report with the most up to date information regarding each applicants status

·Organizes and maintains the inventory of the Talent Acquisition supply closet

·Promptly and accurately complete and file Change of Status forms for internal transfers and promotions

·Manages the temporary employee assignments i.e. follows up on issues regarding tardy, absences and assignment end dates  

·Supports the collections of all SOC audit requirements for the TA team

·Timely scheduling of telephone and face-to-face interviews in a high-volume staffing environment

·Lead the administration and organization of our Applicant Tracking System (ATS), which will include creating requisitions, corresponding with candidates, entering candidate notes, retrieving existing reports, and developing ad hoc reports, as requested

·Coordinate and communicate with front desk, IT and other office support for candidates, temporary employees and new hires

·Organize and schedule interviews and interview ‘blitzes’ during recruiting surges

·Assist with resume screening and phone interviews for all available positions

·Assist with coordination of candidate calibration/post-interview debrief meetings and providing debrief materials

·Assist with creating job offers for all levels

·Assist with scorecard data gathering and input

·Assist with developing weekly recruiting update to keep recruiting team current on status of open jobs, candidate follow up, etc.

·Assist with new hire paperwork and creating new hire packets

·Assist with calendar planning for Director and Managers

·Identify opportunities for improving candidate experience and scheduling efficiency

·Provide administrative support and coordinate facilities for recruiting activities and candidate interviews

·Perform pre-employment screening checks (background checks) as directed

·Participate in special projects, candidate sourcing, and taskforces as assigned

·Extremely strong organizational skills and attention to detail

·Extremely strong verbal and written communication skills

·Strong communication skills with a focus on asking questions and listening to understand

·Process oriented or desire to follow processes to ensure accuracy and compliance

·Possess examples of ability to coordinate, plan and schedule

·Experience maintaining a database and generating reports

·Must be proactive and be able to multi-task a high volume of positions, candidates, etc. 

·Ability to maintain confidentiality of key HR information

·Ability to work in a fast paced, quickly changing environment

 

Qualifications

 

    Minimum Qualifications

·Bachelor’s degree or equivalent work experience (3+ years of equivalent experience)

·1+ years of administrative experience is required

·Recruiting and/or sourcing experience is preferred

·Computer Skills: Proficient in Microsoft Office Suite applications including Word, Excel, Power Point, and Outlook

    Preferred Qualifications

·System Experience: ADP and RecruiterBox

 

Additional Requirements

 

·Physical Requirements (i..e. Ability to lift up to 50 pounds without assistance)

·Travel requirements: Travel Expected: up to 25% of the time
