As the People Coordinator, you are a central lynchpin to a team of HR and recruitment experts headed up by the SVP of Global People.

 

In partnership with the our People Partners you will be on the front line of the HR team, on hand to provide coordination and management of key HR project across the US Chicago office, where the majority of our NA employees are based, and our small teams based in Canada and across the states.

 

You will be heavily involved in managing the coordination and administration of all aspects of HR projects as well as some key people management initiatives such as, welcoming new employees, setting up training courses, supporting the Talent Acquisition team with freelance and permanent new hire coordination. You will support our strategic People Partners with projects, ranging from succession planning, talent management and diversity and inclusion. You’ll be encouraged to put forward your own ideas at every opportunity and to provide support where necessary across the team.

WHAT YOU WILL BRING TO THE AGENCY

Responsibilities

Digging deeper on the details

 

 

People administration

  • Manage specific management reports on people-related admin and workflows (e.g. starters, leavers, hiring updates, goal setting progress)
  • Updating relevant ICIMS, NetSuite, and trackers, keeping them up to date and making sure relevant changes are processed in a timely and efficient manner
  • Maintain the organisation charts, ensuring they are up to date
  • Always looking for ways to do things differently – improving processes and keeping us efficient
  • Supports People Partners with creation and management of relevant trackers, sharing information timely and with appropriate recommendations where necessary
  • Manage the freelance process alongside resource management and TA

 

 

Data

  • Creates our bi-weekly People information tracker and collates the people information for sharing with our leadership team consistently
  • Support the HR Specialist to create quarterly people dashboards identify trends and offering analysis (e.g. turnover, sickness stats)
  • Coordinates quarterly Pulse Check an employee engagement and diversity and inclusion surveys.
  • Ad hoc reports and requests to assist with the management of our people and projects e.g. project plans, data mining, PowerPoint deck creation

 

On-boarding

  • Manages onboarding process from start to finish
  • Oversees creation of welcome pack (backpacks, starter info etc.)
  • Coordinates all induction meetings for new starters with hiring teams, IT and NetSuite teams
  • Greets new hires on day 1 and meets with them at the end of week 1 to check in
  • Manages the Sidekick program, including assigning Sidekicks, delivering training to Sidekicks and reviewing and improving the program
  • Manages check in’s throughout onboarding and feeds back issues/concerns to relevant People Partner’s to address

 

Learning & Development

  • Books internal and external courses, provides delegates with course information
  • Works with the Admins to arrange all logistics for internal courses (materials, rooms, refreshments)
  • Issues and records evaluation feedback forms post-course, summarises key themes for team and reports back to People Partner’s with relevant recommendations/analysis

 

Project Coordination

  • Support the People Partner’s with wider agency change projects, annual people processes, events, and initiatives
  • Create project plans, pull progress reports and support global teams where appropriate
  • Lead relevant project work and process improvements for both local and global needs
  • Support the Global D&I Lead to deliver global initiatives (create project plans, schedule inclusion meetings, collate notes, input and help execute against specific initiatives)

 

Ad Hoc Duties

  • Arranges team meetings and events
  • Organises staff gifts team (e.g. new baby gifts, Mother’s and Father’s Day gifts etc)
  • Plays an active role within the Get Closer team
  • Plays an active role supporting the Global D&I lead with inclusion initiatives and supporting administration work

Desired Skills & Experience

SKILLS AND EXPERIENCE WE WOULD LIKE YOU TO HAVE

 

  • We’re looking for someone with fundamental experience within a fast paced administration role (ideally from a HR function)
  • You must be passionate about working with people and be eager to grow and develop your skills within HR
  • You must be reliable, trustworthy, with heaps of integrity and confidentiality on all people matters
  • You will be confident, used to using your own initiative, be proactive and adaptable to ever-changing priorities
  • Great at managing your own time and following through; delivering what’s expected of you to a high standard (and great attention to detail)
  • You will have excellent interpersonal skills, work well as part of a team but also able to work independently
  • You will have good IT skills, with experience using HR systems and able to learn bespoke ones too.
  • You will have very strong Excel skills, ideally at Intermediate level
