Narrative Science is looking for an enthusiastic and detail-oriented workplace professional to join the team in Chicago.  Narrative Science creates software that writes stories from data to drive understanding and results.  As the Workplace Experience Associate,  you’ll be a go-to person for our employees and have your hand in a variety of work related to our office, our people, and our accounting function.  You have a lot on your plate but you thrive in a versatile and fast-paced environment.  As someone who is collaborative, humble, and takes ownership, you are the epitome of our Team First virtue and strive for the highest level of service. 

RESPONSIBILITIES

Accounting Responsibilities 

  • Manage and prepare bi-weekly payroll
  • Handle contract management including a variety of agreements and corporate documents 
  • Administer the company’s stock option and 401(k) programs 
  • Review employee expense reports ensuring compliance with the expense reimbursement policy
  • Assist the Finance team with accounting projects as they arise

Talent Responsibilities 

  • Administer and maintain the HRIS system (e.g. Zenefits) including the creation of new hires, updates, running reports
  • Create and maintain employee files
  • Schedule company interviews
  • Post positions in our ATS (applicant tracking systems) and on external sites to ensure postings are current and updated across all channels
  • Manage preparation for interviews and post-interview meetings
  • Oversee onboarding process for new hires including pre-employment checks
  • Schedule and route pre-employment assessment tests and results

Office Responsibilities

  • Create a welcoming and professional first impression of the company by greeting visitors, including prospective employees, customers, and investors
  • Manage relationships with food, beverage, cleaning and office supply vendors and oversee the ordering process
  • Maintain daily office operations throughout the day, including reception, deliveries, kitchen, and conference rooms
  • Partner with the VP of Talent and Workplace Operations Manager on projects and practices to ensure employee safety in the midst of COVID-19
  • Provide administrative support to our Executive Leadership Team including calendar management and travel arrangements
  • Support a variety of teams in ongoing initiatives as well as the implementation of goals, programs, and policies
  • Contribute to the company culture with an outgoing, fun and positive attitude
  • Plan and execute internal and external events

QUALIFICATIONS

  • Bachelor’s degree and a minimum of four years of related experience
  • Customer service experience with high service orientation
  • Previous experience in HR administration and/or Accounting
  • Excellent written, verbal and interpersonal skills
  • Exceptional multi-tasking and prioritization skills
  • Strong professional and work-ethic skills
  • Previous logistical coordination or scheduling experience
  • Strong organizational skills with a keen eye for detail
  • Able to work independently with minimal supervision
  • Ability to quickly learn new technologies and processes
  • Proficiency with office technologies such as Microsoft Office (Excel and Word), email, internet, Google Apps
  • Knowledge of Applicant Tracking and/or HR systems is a plus

Location

We became a distributed workforce in March 2020 as a result of Covid-19 and will remain distributed moving forward. Our Chicago HQ still remains but we want our team to have flexibility around when and where they work.
