Position Overview 
The Event Marketing Project Coordinator assists in the strategy and organization of all new business leads, initiatives and opportunities. This role helps the BD team to monitor day-to-day workflow of the department and is accountable for making consistent updates to Agency EA’s CRM platform. The  Event Marketing Project Coordinator is responsible for supporting BD team members in creating customized sales materials and presentations, conducting research on new business opportunities and supporting BD Leads on various projects and proposals as directed. 

Responsibilities

New Business Proposals

  • Assist in the creation of new business presentations and develop content that is on-brand, purposeful, and concise. 
  • Develop and co-manage overall proposal timeline and work with the BD Proposal lead and Creative lead to ensure that all deadlines are met. 
  • Assist on proposal estimate development, which may include research, sourcing and gathering quotes from external vendor partners and venues.  
  • Provide solution recommendations that are on strategy, executable within the timeline and budget, and that achieve the best outcome.
  • Proof and format client presentations, written communications, creative elements and other project-related work as directed.
  • Work with the Creative team to ensure all creative assets and necessary versions are completed, proofed, and produced within established deadlines. 
  • Work with Proposal Lead to ensure that all client feedback and revisions are addressed in all creative elements.
  • Create a master presentation of all information collected for the project to ensure successful onboarding to Client Services.



Department Initiatives

  • Provide internal team with thorough notes from calls, brainstorm sessions and other meetings to accurately record ideas, discussion details and next steps for proposed projects.
  • Update and maintain contact, lead and opportunity data in CRM on a daily/weekly basis, consistently verify CRM data to ensure data integrity, ensure all fields are completed in CRM and assist with status updates and tracking on department initiatives.
  • Conduct in-depth research on new business leads and prospects, past marketing campaigns and corporate announcements, marketing channels and biographies, and find useful insights for pitching new business.
  • Work with the Marketing team to develop and successfully execute marketing campaigns to new and/or existing new business leads and contacts.
  • Update BD lead and Director daily/weekly regarding project progress and status. Trouble-shoot issues/recommend actionable solutions. 
  • Schedule meetings, conference calls and presentations as directed.
  • Ensure quality control for all projects (against Client mandatories, brand standards, and Client directed revisions). 
  • Provide on-site/at event assistance as needed, when available.


Qualifications

  • 1-3 years of professional Business Development experience, preferably in an agency environment
  • Self-starter, with strong organizational and time management skills
  • Proven ability to work well cross-functionally, and synthesize information and creative feedback from diverse stakeholders
  • Receptiveness to receiving feedback and thoughtfulness in providing to others
  • You have a growth mindset, exceptional communication skills, and an innate ability to deal with ambiguity
  • You dig into problems, learn quickly, and take action
  • Excellent organizational skills
  • Highest level of professionalism
  • Propensity to think creatively and strategically
  • Salesforce and Google collaborative tools experience a plus
  • Bachelor's Degree in Marketing, Business, Communications or a related field a plus
