West Monroe has an immediate opportunity for an experienced professional to join our Marketing function to provide operational event support and help plan and execute various external client-facing events for the firm. This individual will provide operational support to our two existing Marketing Events individuals. He or she will help manage our vendors, the internal contract review, invoice processing, and event analytics. He or she will also help plan a variety of events; supporting our conferences, tradeshows, webinars, high-level client events, and local hosted events. This person will also help with support pertaining to client invitations and communications to ensure we are providing clients with a one-firm experience.

Key Responsibilities
- Event planning; including venue research, menu selections, logistics coordination, and the potential for onsite support
- Works with outside vendors to make event selections
- Submits contracts for our legal teams review
- Submits invoices to our accounts payable team and tracks the payment status
- Drafts client attendee communications and creates client bio decks
- Imports lists, creates events and tracks attendance within Salesforce
- Manages the invitation creation, distribution, and tracking for all marketing events, working closely with our design team
- Assists with the client gifting program
- Assists with the internal wine gifting program
- Package and ship event supplies upon request
- Provides status updates on event progress
- Works closely with members of the service marketing team, managing event elements
- Schedules event kickoff and debrief meetings for the internal team
- Actively works to improve and refine the tactical event logistics
- Works with the larger marketing team in an innovative, fast-paced, and creative workspace to conceptualize, plan, and execute on marketing events
Requirements
- 3 – 5 years of experience in an administrative support or events logistics role, ideally in a professional services environment or agency
- Understanding of Salesforce and Pardot is preferred
- Strong interpersonal skills and a track record of working effectively and forming peer-level relationships
- Strong planning and logistical background
- Preferred experience working with conference, tradeshow, and restaurant vendors
- Ability to manage multiple event logistics and executive leadership presence
- Adaptable to change in a fast-paced environment
- Strong skillset in organization and detail oriented
- Ability to lift up to 30lbs
- Travel to events nationally upon request for onsite logistics assistance
- Professional writing skills and communication – with a specialization in writing for event invitations, communicating logistics, and event surveys
- Proven ability in working effectively with outside vendors
- Excellent internal and external communication skills
- Proficient in MS Office Suite
