Administrative Assistant / Personal Assistant
ABOUT THE ROLE
We are looking for a reliable, proactive, and trustworthy Administrative Assistant/Personal Assistant to ensure our company and Managing Partner is performing at the highest level. The ideal candidate enjoys creating order out of chaos, is great with people, and trustworthy enough to handle both personal and internal company matters with discretion. Typical tasks will include both recurring and ad hoc tasks and projects for the Managing Partner on a personal and professional level as well as general office administrative work. Candidate will gain exposure to the consulting industry and various aspects of our work with clients in finance, technology, and academia. This is a highly respected role within the company: many current employees have performed all/part of these duties in the past!
ABOUT YOU
Strong organizational skills and attention to detail
Proactive, self-starter and driven to follow-up and follow-through to complete tasks and projects
Superior calendar management (Google, Outlook) and lives and breathes to manage calendars / schedules
Able to push projects forward even amidst ambiguity and limited information
Open to both exciting and menial tasks (an attitude of “no job is too big or too small”)
Outstanding communication and interpersonal skills: speaks and writes clearly, gives positive energy to others, maintains calm and poise during stressful situations
Trustworthy, with impeccable discretion with respect to confidential information and awkward situations
Ability to prioritize and sequence tasks according to importance and urgency
Proven coordination skills and ability to independently manage many tasks at once
CORE RESPONSIBILITIES
Manage calendar: You’ll be scheduling meetings and appointments, booking conference rooms, and curating/troubleshooting the Managing Partner’s personal and professional calendar.
Track Expenses: You’ll be gathering receipts on a regular basis to organize expense reports from mixed-up receipts and complicated travel schedules.
Administrative and logistical support. You’ll be reading/monitoring email, acting upon pressing items and reminding others to act when needed, receiving packages and reading mail, ordering lunch, and sending gifts, etc. This includes liasing with vendors and partners (such as our attorney, travel agent, utility company, IT support, etc).
Event planning and execution: In addition to setting up meetings in the office, you’ll plan company parties, offsite strategy meetings, and dinner events with our clients and candidates. This includes travel, conference rooms, food and beverage, reservations, and many other logistics.
Managing Partner’s personal errands: You’ll be tackling personal errands, such as purchasing gifts, dry cleaning, bank deposits, scheduling house cleanings and other appointments.
Schedule travel: Coordinating travel plans, including hotel and flight bookings, for the Managing Partner and other team members as needed.
