What You'll Bring

What you’ll bring:

3+ years of experience providing administrative support to multiple senior level executives

Advanced knowledge of Microsoft Outlook, Word, Excel, PowerPoint, and Concur Travel Solutions. Skype for Business and Visio are a plus

Strong organizational skills that reflect the ability to complete assignments accurately within given deadlines, and prioritize multiple tasks seamlessly with excellent attention to detail.

Exemplary interpersonal skills and ability to develop relationships with key stakeholders, both on-site and remote, and acting as an extension of supported executives

Quick adaptation and flexibility to changing priorities and deadlines is a must.

Independent judgment, a professional demeanor, and discretion in dealing with confidential matters are required attributes for the incumbent

Experience managing international travel a plus

Impact you’ll make: 

We are looking for an experienced, results-driven administrative assistant who will directly support the SVPs of Financial Services and all Financial Services Customer Engagement activities. This is a fast-paced growing environment and we are looking for someone with outstanding interpersonal skills who operates with strong attention to detail and a high sense of urgency. This person will act as a liaison between the executive and executives’ peers, leadership team, customers and other internal and external contacts. This person will also be responsible for providing various administrative tasks for multiple high-profile customer events.

Develop an administrative partnership to supporting executives; utilizing creative problem solving skills, effective decision-making, and project planning/management abilities. The administrative assistant will work proactively and independently, using good judgment and maintaining a realistic balance among multiple priorities. This is a key position to set our executives up for success, you will be able to demonstrate your impact by performing the below:

Ensure most efficient use of executives' time, prioritize daily workflow and contacts for the executives

Anticipate and prepare daily schedule of executives' meetings and priorities. Demonstrate sound judgment in scheduling appointments without oversight

Manage and arrange complex and detailed domestic and international travel plans / itineraries, compile documents for travel-related meetings.

Prepare and submit expense reports in a timely manner

Initiate, establish and communicate department meetings on behalf of executives. Prepare agendas and ensure meetings progress according to schedule. Follows up on meeting action items

Coordinate logistics—in particular ordering meals—for internal and customer meetings and events on a regular basis

Responsible for the onboarding process for new employees, ordering office supplies as needed, and invoice processing

Assist in compiling materials and assist in managing attendee responses for conferences and meetings

Willing to take on additional project work beyond core administrative duties to support the team as needed

Handle details of a highly confidential and critical nature

Review material for manager approval for typographical accuracy, format, conformance with procedures, internal consistency and ensures proper approvals have been obtained before releasing correspondence

In executive's absence, coordinate the timely communication of requests, issues, complaints, problems, and other action items to the appropriate manager

Perform other related duties assigned
