Agent Coordinator

Reports to: Vice President of Sales

The role of Agent Coordinator supports the Vice President of Sales, Regional Sales Managers, and Partner Agents across the country by performing tasks related to Partner Agent Recruiting/On-boarding and Partner Agent Communications. The Agent Coordinator will also provide administrative support related to the sales function, such as running reports or updating databases.

Job Duties:

 Agent Recruiting & On-boarding:

  • Responds to all online Partner Agent Applications promptly. Shops new partner agent applications. Updates Sales Manager Agent Recruiting log.
  • Conducts first round phone interviews with all viable candidates to determine if they are a good long term fit for the program.
  • Takes joint responsibility for completing tasks related to Sales Manager Partner Agent Onboarding, including but not limited to updating shared Trello boards and proactively keeping Regional Sales Managers up to date when agents are ready to go live.
  • Manages subagent and assistant onboarding.
  • Sends Training Emails and Mindflash invitations to all new Partner Agents.

Partner Agent Communications:

  • Provides support to all Partner Agents through phone, email, and online meetings. Proactively handles all issues that do not need to be elevated to a Sales Manager. Uses Huddle to log communication with Partner Agents.
  • Creates and distributes agent newsletters, Huddle alerts, and email announcements as necessary.
  • Manages Partner Agent Facebook page.
  • Manages all profile information for Partner Agents across Neighborhoods.com, 55places.com, and Huddle. Edits all agent photos and bios, and re-write if necessary.
  • Manages company IDX program, including purchasing domain names and ordering and setting up new accounts from IDX Broker. For new accounts, handles the paperwork setup process with IDX Broker. 

Administrative Support:

  • Provides administrative support for company sales management activities to keep the team running smoothly on a day-to-day basis.
  • Creates and updates Sales Reports as needed.
  • Maintains the Client File Audit Tracker monthly.
  • Update Sales Management Processes, User Guides, and Handbooks as needed.
  • Manages Referral Agreements for new agents and those who need new agreements.
  • Conducts all Current Agent Shops and reports results daily to Sales Managers.
  • Coordinates monthly Partner Agent webinars with Sales Managers.
  • Assists in planning and executing the Partner Agent Summit, Platinum Club Trip, and regional sales manager meetings.
  • Maintains updated Bench List and Market Needs Lists for Regional Sales Managers.
  • Performs other duties as assigned. 

Essential Qualifications

  • 0-3 years of administrative experience 
  • Real estate experience is a plus
