IrishAngels seeks a detail-oriented, highly organized team member who is passionate about helping others and making an impact with their work. The Chief of Staff / Executive Assistant position offers an exciting opportunity to play a hands-on role in a growing company in the Chicago ecosystem. A strong background in project management, administration, or similar field plus three years of work experience is required.

This is a full-time position that may offer some potential for a flexible working schedule. This role will report to the Managing Director, while some responsibilities provide interaction with the entire team. Compensation and benefits will be competitive and are based on candidate’s abilities to make a direct and valuable impact on our business.

Key Responsibilities

Administration (for Managing Director)

  • Proactively manage calendar appointments
  • Respond to emails regarding routine questions/requests and assist in overall inbox management
  • Assist with management of LinkedIn and Twitter accounts
  • Conduct online research to provide background information for key initiatives
  • Assist in preparation of materials for meetings and presentations
  • Prepare bios prior to meetings with external parties
  • Record meeting discussions and provide minutes
  • Enter contact data into our CRM system
  • Research travel options and make travel arrangements
  • Process expense reports on a monthly basis
  • Pay invoices as needed
  • Scan/file documents and organize folders and files electronically

Operations

  • Serve as office manager (i.e., order office supplies, schedule regular cleaning, etc.)
  • Plan events for investors, portfolio companies, and limited partners as needed
  • Assist with member invoicing and collecting payments
  • Update internal training and process documents on a quarterly basis
  • Conduct research to assist with the writing of blog posts

Investments

  • Assist in outbound deal sourcing and initial research on prospective investments
  • Assist with the deal close process (i.e., depositing checks, documentation, etc.)
  • Manage DocuSign, our platform for obtaining signatures on all legal documents
  • Manage initiatives for providing assistance to portfolio companies (i.e., create lists of relevant contacts when an introduction is requested)
  • Assist in recording data in internal and external investment databases

Qualifications

  • 3+ years of work experience
  • Strong background in project management, administration, or similar field
  • Excellent written and oral communication skills
  • Detail-oriented and highly organized
  • Able to multi-task, prioritize, and meet deadlines
  • High comfort with Microsoft Word, Excel, and Power Point
  • High comfort with learning and using other technology systems, such as Copper CRM, DocuSign, and Carta
  • Able to work independently
  • Adheres to strict confidentiality with all company data and information
  • Friendly and approachable, diplomatic and tactful
  • Forward thinking, able to anticipate future needs
  • Strong sense of urgency, adaptability, flexibility, and resourcefulness
