The Corporate Real Estate team is part of the Corporate team at Morningstar, which unites a variety of functions including facilities, design, marketing, finance, talent & culture, corporate communications, legal, compliance, strategic planning, and technology. This group shares a common goal of keeping our business running smoothly. Each of these functions plays an essential role in supporting our company's infrastructure, day-to-day operations, and ongoing strategic initiatives.
The Role
The Corporate Real Estate (CRE) Administrative Assistant is responsible for supporting all administrative duties and general coordination activities for the CRE team. This person serves as the first point of contact for CRE and can efficiently execute the role and responsibilities in a fast-paced, exciting, and growing environment. The successful candidate is a trustworthy individual with great integrity who follows through with commitment and is perceived as dependable and conscientious. They will exhibit professionalism and ethics, a drive for results and demonstrate personal responsibility for their performance. We are looking for someone who is bright and motivated with a proven history of high performance to support our CRE team and maintain the excellent quality of Morningstar's Global Real Estate portfolio. This position will be based in our Chicago HQ, though will allow for the ability to partially work remotely.
Job Responsibilities• Manage all Real Estate processes, systems, and administrative duties• Conduct research, assemble data, complete reports, and maintain databases• Assists with the coordination of all transaction activity, project tracking, and project closeouts, which includes coordinating with the finance, legal, IT, and other relevant stakeholders.• Maintain, schedule, and coordinate calendars and meetings• Control all correspondences by responding or directing appropriately• Communicate regularly with regional Facility Management Directors and project stakeholders, and develop effective working relationships• Support the preparation of meetings, documents, emails, and presentations for management• Ensuring accurate document processing, completion and filing• Process invoices and expenses by ensuring proper documentation and accuracy of documents• Ensure accurate quality control on Real Estate portfolio databases internally and externally• Develop and recommend new processes to increase productivity, including technical support• Complete assigned tasks with high quality efficiently and effectively
Qualifications• Bachelor's degree (BA/BS)• Proven background in highly detailed administrative roles within corporate real estate industry• Excellent written and verbal communication skills crucial to effective interaction with all levels of the organization• Self-motivated, proactive and capable of both working within a team environment and independently• Strong time management and organizational skills, attention to detail and the ability to manage confidential information• Ability to partner with external resources including consultants, vendors and suppliers• Ability to develop, use and sustain strong cooperative relationships with all levels and cultures of the organization• Ability to work in fast-paced environment and prioritize multiple assignments• A sound work ethic, desire and commitment to accept increasingly greater challenges and responsibilities• Flexibility to work as needed to attend to urgent priorities• Strong knowledge of financial terms and principles preferred.• Affinity with (corporate) real estate preferred• Advanced in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
