ThinkMarkets has an exciting opportunity for an Executive Assistant to our CEO, to be based out of our Chicago Office. The successful candidate will have significant experience supporting Board level, C-Suite executives in a fast-paced global business, ideally within finance and/or trading. You will be responsible for providing complete administrative, organizational and support service to the CEO. Exceptional communication, organizational and interpersonal skills are necessary in order to succeed in this role. 

 

Responsibilities:

 

  • Provide complete executive and administrative support to the CEO
  • Manage a complex calendar and schedule meetings and appointments
  • Prepare Powerpoint Presentations , coordination action items across global offices , and prepare follow up summary items
  • Coordinate management meetings , departmental status follow ups and update Sharepoint , Confluence and JIRA as needed
  • Manage and prioritize the week based on demand and key delivirables for the week ahead. through proactive planning , and outreach to the global teams.
  • Coordinate board meetings and prepare related materials for preparation
  • Maintain confidential files including but not limited to legal and commercial documents
  • Manage and take minutes of both internal and external meetings, as well as host webinars and conference calls
  • Assist with corporate recruiting efforts by setting up interview schedules as needed
  • Provide personal support including managing personal calendar and errands.

 

Desired Skills and Experience:

 

  • Bachelor's degree required along with 5+ years of Executive Assistant expreience to C suite professionals in Financial Services .
  • Decisive, perceptive and intuitive decision-making skills, and incredible attention to detail
  • Advance knowledge in Microsoft Office 365 suite
  • Experience working in Financial Services and/or Capital Markets preferred
  • Global corporate experience, in particular, working within different time zones
  • Excellent communication skills, both written and verbal
  • Flexibility to work in a fluid and ever-changing environment
  • Strong time management skills and ability to meet strict deadlines, multitask, and prioritize
  • Experience servicing Board and C-suite executives
  • Maintaining the highest level of professionalism and confidentiality.
