Responsibilities go above and beyond managing calendar and screening calls.

 

You are the right-hand (wo)man for our CTO. You want to learn a ton, by working closely with the leader of a 500+-person Engineering organization of a leading, high-growth Chicago technology company. You will manage day-to-day administrative and operational aspects of the department and support the CTO on projects as needed, providing him with significant leverage.

 

If you are successful in this role, there is potential for long-term expanded roles within the business.

Role Responsibilities

  • You manage CTO's calendar, business travel needs, and expenses.
  • You will be responsible for managing requests for the CTO’s time and prioritizing what’s important.
  • Yo will be the voice of reason and responsible for pushing back to make sure he has time to think in between all his meetings and activities.
  • You know exactly what to do with the CTO's emails.
  • The CTO gets a ton of emails a day and needs help staying on top of them. You should read all of his emails in real-time and prioritize them: what needs to be addressed right now? Respond directly if it involves scheduling. Draft a response for the CTO to respond if it doesn’t.
  • You help CTO manage all his relationships and communication.
  • Make sure his contact list is up to date. Make sure we stay on top of follow-ups to internal stakeholders and clients. Lead coordination for department All Hands, from content creation/development to catering support to project managing all aspects of the event. Coordinate and support the recruiting and on boarding plans for new executives. Partner with the CTO and Talent Acquisition to develop scorecards to communicate expectations for new roles. Partner with the executive and with Internal Communication to craft clear, compelling communications after key events or changes. Assist with CTO's social media presence and responses to help position the Relativity brand and to push recruiting efforts forward.
  • Insure the CTO is ready for all his meetings because of your preparation.
  • When the CTO has a client meeting, reach out to the account manager to get the latest on the account. Ensure that all internal meetings he is leading have an agenda and clear objectives. Keep track of follow-ups from past meetings. Know what he needs before he asks.
  • You direct the flow of incoming information.
  • Receive, screen and route all calls, mail, and other correspondence to the CTO or other appropriate individual in the business. Proactively handle questions and information requests.
  • You help us run the department.
  • The Engineering department has an operational calendar that helps us track what to do, when. What are the right meetings or forums to align on important operational, strategic, and people topics? Who needs to attend these meetings in order for them to be successful? How often should they meet? This operational calendar is referred to as the department Operating Management System (OMS). You will be critical to creating and managing it.
  • Establish a rhythm by creating a reliable, sustainable operating pace for the cadence of the Engineering leadership team. Coordinate strategic meetings, documentation deliverable s. Compile complex Set pace for meeting key timelines, manage expectations, monitor progress and ensure all collateral is ready for review.
  • Help us document processes and manage to them. Own key department documents and artifacts and keep department information hubs up to date so team members know what to do, when to do it, and who to go to for help.
  • You lead & support ad-hoc projects for the CTO
  • Work closely with the CTO and Engineering leadership on smaller but critical "ad-hoc" projects.
  • Work directly with Engineering leadership to provide meeting and communication support for internal teams, customers, and all Relativity (e.g. emails, presentations, decks, data visualizations, communication plans)
  • Design, organize, and conduct comprehensive management of projects with ambiguous and changing requirements – drive all projects to completion

Preferred qualifications

  • Detail oriented. You have an eye for details and are thorough in everything you do. You proofread your work several times over.
  • Proactive and hungry for growth opportunities. You will anticipate the CTO's needs before he asks and be constantly seeking opportunities to grow in your role and develop new skills.
  • Confidentiality. You will be privy to everything that is going on in the Engineering organization. You must maintain strict confidentiality with sensitive information.
  • Professional relationship builder. You represent the CTO in every action you take and should be conscious of that as you build relationships throughout the organization.
  • Strong work ethic. Ability to collaborate and get work done in a quick and efficient way.
  • ·Receptive to feedback. You seek out help and feedback when you need it, and adapt to any advice received.
  • Other Important Qualities:
  • Willing to push back. You will get lots of requests for the CTO's time/attention and you should have the ability to politely push back. You also should be willing to push back to the CTO.
  • Change & Ambiguity. You should be comfortable working in an environment of constant change and should also be able to work confidently with a certain level of ambiguity.

Minimum qualifications

  • A proven go-getter with demonstrated ability to deliver on your commitments.
  • 2-5 years in a role supporting an executive, technology industry preferred
  • Knowledge of or interest in technology industry preferred
