Portage Point is currently seeking an exceptional Executive Assistant & Office Manager to strengthen our operational backbone. The Executive Assistant & Office Manager role at Portage Point represents a unique opportunity for highly-motivated professionals to assume a wide set of responsibilities and make a significant impact in a fast-paced, entrepreneurial environment. The Executive Assistant & Office Manager should be prepared to work within a small, collaborative team environment to manage discrete work streams. 

Responsibilities

  • Oversee the maintenance and improvement of internal systems including managing the CRM, project management applications and resource library
  • Support human resources initiatives including recruiting coordination, implementation of performance management program and support of learning initiatives
  • Provide traditional executive assistant services to the Founder & Managing Partner (i.e. calendar management, meeting preparation and expense report management)
  • Manage the office to ensure properly functioning technology (in partnership with third party technology support partner) and adequate supplies
  • Coordinate new employee pre-boarding and onboarding
  • Additional duties as assigned

Qualifications

  • Bachelor’s degree
  • At least three years of experience as an executive assistant to top level of management
  • High degree of maturity with a proven ability to interact with management, team members and external partners
  • Effectively communicates through Microsoft Word and PowerPoint including high-quality messaging, structure and formatting a plus
  • Ability to successfully work in a small, collaborative team environment
  • Eagerness to be responsive at all times
  • Excellent written and verbal communication skills including strong e-mail etiquette
  • Top-tier organizational and project management skills and attention to detail
  • Self-starter and entrepreneurial nature
  • Previous CRM management experience a plus
