About the Team:
The Retail Sales team will implement a comprehensive refresh of the in-store experience for both customers and consumers. 8000 retailers across Illinois will receive transformational sales support reinforced by better products and better media advertising resulting in a transformation of sales performance and overall brand image. The Marketing function will reinvigorate the Illinois Lottery brand through innovative insight-led programs such as enhanced games, effective social messaging and original advertising campaigns.
Position Overview:
The Executive Assistant will be responsible for providing full executive administrative services to the Retail Sales and Marketing teams.
Responsibilities:
- This role is responsible for the efficient daily operation of the Retail Sales and Marketing teams working as the “go-to” person in a fast-paced challenging environment
- Act as the first point of contact filtering all incoming internal and external business communications
- Maintain an awareness of the key issues and activities taking place within both the company and department
- Participate in team meetings and projects with an eye to improving processes and the overall performance of the Retail Sales and Marketing teams.
- Provide a range of administrative services including:
- Managing, assessing, responding to and directing incoming mail, responsibility for initial receipt of phone calls to the Retails and Marketing teams
- Working independently to make judgements on what actions are appropriate, organizing meetings and managing calendars to maximize scheduling, time and travel arrangements.
- Organizing documents and reports to ensure the possession of all relevant information when attending company and business meetings and events
- Production and preparation of letters, reports, presentations and other documentation and managing sensitive information and highly confidential documents with discretion
- Resolve any administration issues or queries and undertake other ad-hoc support tasks as requested
- Collaborate with other Executive Assistants to cover the overall administrative needs of the office
Requirements
Qualifications:
Required:
- A minimum of three years experience supporting a high level executive
- Experience working within Google Suite and/or Microsoft Suite
- Experience prioritizing tasks, arranging and attending meetings, and facilitating schedules
- Ability to maintain and respect confidentiality
- Excellent communication skills and the ability to deal effectively with people at all levels across a multicultural environment
- Self-starter, with strong initiative and confidence and the ability to work with little guidance
- Collaborative and flexible team player with the ability to adapt to changing needs and initiatives
Preferred:
- Bachelor’s degree strongly preferred
- Highly motivated and resourceful self-starter capable of functioning in a fast-paced, entrepreneurial environment
- Outstanding verbal and written communication skills
- Strong organizational skills
- Problem solving and critical thinking skills
