We are seeking an Executive Assistant to join our team at the Prudential building in downtown Chicago, Illinios.  In this role, you will provide administrative support to the SVP, Revenue Strategy/Head of Sales for Chicago Tribune, as well as the Chicago Sales Senior Leadership team. The right person for this role has relevant experience handling sensitive and highly confidential material/information.

Responsibilities

  • Manage complex schedule and coordinate meetings, conferences, events, etc. for senior Sales leadership, including scheduling appropriate facilities, ordering refreshments, issuing invitations or meeting notices, preparing presentation/ hand-out materials, and follow-up correspondence.
  • Screen and prioritize incoming calls and mail/correspondence, taking appropriate actions as necessary.
  • Make travel and accommodation arrangements as necessary.
  • Process invoices and expense reports/American Express reconciliation.
  • Monitor and maintain an appropriate inventory of office supplies, placing special orders as needed within pre-established supplies budget.
  • Prepare agendas for weekly staff and Ad VP meetings
  • Organize and execute our sales recognition events including compiling weekly big wins for our weekly sales update meetings.
  • Assist with department wide communication

Prepare a variety of management reports by collecting and consolidating data and establishing procedures for setting up information in files, on PCs, etc.

Qualifications

  • At least five of advanced administrative experience.
  • Excellent communication, interpersonal, and organizational skills are essential.
  • Demonstrate the ability to handle multiple projects and priorities yet respond and adapt to changes in those priorities.
  • Proficient in Microsoft Office. Ability to design, create, and edit PowerPoint presentations for executive leaders
  • Must be resourceful to establish effective work relationships to utilize company resources to resolve issues and meet deadlines.
  • Must be able to prioritize competing requests and manage busy schedules.
