Department Overview
This department is responsible for selling Motorola Solutions public safety applications to city, county and state agencies. Supporting the North America Sales Team and strives to be a trusted partner for the business.
Job Description

The Executive Assistant is a professional member of a high functioning, fast-paced leadership team. Our highest priority is accountability and delivery of commitments. 

Responsibilities include:

  • Supporting and manage a high-volume of requests and projects

  • Coordinate and manage ops reviews, in-person staff meetings, and other events worldwide

  • Managing ad-hoc meeting requests and solicitation calls on behalf of the EVP

  • Proactively managing the calendar of the EVP and coordinating with direct staff and Corporate

  • Supporting in strategic communications, organizational strategy, and all other special projects as assigned

  • Preparing and editing correspondence, presentations, reports, and memos

  • Compiling and editing weekly briefing reports from each region

  • Coordinating proposal and contract documentation for signatures and legal approvals

  • Shipping/Receiving local office correspondence

  • Tracking corporate sponsorships and annual giving plan budgets

  • Tracking and issuing payments for 3rd party resources

  • Running internal metric reports from sales tools and issuing to appropriate personnel

  • Assisting local executives with expense reports and booking travel

  • Miscellaneous administrative business functions

Specific Knowledge/Skills:

  • Bachelor's degree preferred; minimum of an Associate's degree required

  • Proven experience supporting a C-Suite exective

  • Proficiency with the Google suite of office software (Docs, Sheets, Slides, Gmail, Calendar), Microsoft suite of office software (Word, Excel, Powerpoint), and Various Printers / Copiers

  • Experience with Salesforce.com and Tableau is a plus

  • Project management of intermediate complexity

  • Use initiative and judgment within established guidelines

  • Effectively interface with employees from other groups within Motorola and senior executives inside and outside the company, and understands key players within all orgs

  • Organize, prioritize and coordinate multiple work activities with the ability to meet deadlines

  • Strong teamwork skills, and a strong ability to offer suggestions and improvements to process and work effectively across a range of personalities

  • Strong relationship management skills

  • Agility and flexibility in response to changing priorities and needs

  • Proven ability to manage projects, work under pressure and consistently make deadlines

  • Demonstrate ability and willingness to continuously acquire new competencies and accept new challenges

  • Strong oral and written communication. Ability to communicate clearly and effectively with senior leaders and external partners

  • Handles confidential material with the utmost discretion

  • Insure communications are clear, thorough, and specific, with attention to follow-through

  • Key personality traits: high energy, smart, flexible, trustworthy, resourceful, timely, polite, easy-going, sense of humor, independent, decision maker, accurate, creative, poised
