Purpose of Position:

The Facilities Clerk is eager to roll up their sleeves to get the job done. He or she is a hands-on type with a unique ability to motivate others. The ideal candidate is a natural problem-solver who feeds off of variety and is cool under pressure. The person processes incoming and outgoing materials. Who can get the job done the first time, communicate and execute on requests in a consistent manner.

 

Essential Duties and Responsibilities:

 

  • Demonstrate full understanding of shipping and receiving methodologies around the use and execution of all shipping/receiving services that include but not limited to USPS, UPS, FedEx, and Common Carriers
  • Stay up to date on carrier requirements, changes, process and system updates
  • Manage all shipping and receiving documents (e.g., shipping labels, packing slips, bills of lading, etc.).
    • Pack, seal, label, and affix postage to prepare materials for shipping. Use of work devices such as hand tools, power tools, and postage meter.
    • Record shipment data, such as weight, charges, space availability, and damages and discrepancies, for reporting, accounting, and record-keeping purposes.
    • Direct the flow of packages from preparation to shipment; receiving and delivery
    • Inspect labels, barcodes, and other features of completed orders.
    • Examine contents and compare with records, such as manifests, invoices, or orders, to verify accuracy of the incoming or outgoing shipment.
    • Prepare volume mailings using Excel and other software to prepare and process shipments
  • Communicate between employees, within or outside of the department, to rectify problems, such as damages, shortages, and non-conformance to specifications.
  • Deliver or route materials to departments using work devices (such as hand truck, carts, and sorting bins).
  • Works cooperatively with all Co-workers to achieve common goals; communicating effectively and sharing information and resources appropriately.
  • Keep work area neat, clean, and organized.
  • Facilities
    • Receives requests for supplies and works with Department Lead on special requests, daily needs and fulfills the request
    • Coordinates with others on company staff moving and seating placement
    • Owns and resolves copier issues, printing, and paper replenishment
    • Stock replenishment: within the department and other areas within the buildings. Inventory stock and submit or place orders for fulfillment.
    • Works alone or with others in conference room furniture moves and reconfigurations
    • Assist with snow removal, salt application, and dumpster area cleanup
  • Available for after-hours and peak business schedules as needed
  • Perform other duties as assigned

 

Knowledge, Skills, and Abilities:

 

  • Dependable, self-starter, personable person who collaborates with others
  • Experience working with outside vendors and contractors.
  • 1+ years' experience with shipping and receiving or office/facilities management
  • Proficient in Microsoft Office: Excel, Word, and email
  • Excellent written and verbal communication skills.
  • High school diploma.

 

Physical Requirements

 

  • Commutable radius to the property
  • Occasionally ascends/descends a ladder to stock/retrieve supplies.
  • Frequently moves equipment weighing up to 75 pounds.
  • Ability to sit and stand for prolonged periods
  • Constantly works in outdoor weather conditions.
