As Facilities Manager, you’ll manage the day-to-day operations of our Chicago-based headquarters office, including all facilities/office administration matters, foodservice, reception, travel, event management, space planning, and office renovation projects.

 What you’ll be working on:

  • Providing oversight for all general office management, foodservice, maintenance, reception, travel, and general administrative support functions in the Chicago office
  • Managing and training office services staff
  • Maintaining office furniture, equipment and general cleanliness and order in the office
  • Managing all travel processes and procedures for all offices
  • Coordinating space planning and expansion projects related to the Chicago office
  • Designing and implementing office policies and procedures (travel, record retention, etc.)
  • Reviewing and approving office-related expenses within budget; providing monthly financial analysis
  • Tracking office supplies/equipment inventory
  • Maintaining office equipment (non-IT) and service contracts
  • Overseeing security issues related to physical space and systems
  • Collaborating with building engineers and internal IT staff to monitor and resolve mechanical, electrical, and plumbing issues as they arise
  • Acting as Safety officer for the Chicago office
  • Conducting health & safety risk assessments and reporting on quarterly findings
  • Presenting overview of facilities and health & safety issues at new employee orientation sessions
  • Managing all facilities/office-related third party contracts and vendors; track renewals
  • Providing first aid care for the office as needed
  • Organizing and managing all office events
  • Managing all renovation and office build-outs as required

You will be right at home if you have:

  • Extensive office management experience
  • Experience managing facilities projects and vendors
  • Experience managing high-performing teams
  • Strong technology skills, including proficiency in Microsoft Office (Excel, Word, PowerPoint, Outlook, etc.) and the ability to learn new systems quickly
  • Previous experience managing office safety programs
  • Strong drive and initiative and strong work ethic
  • Excellent interpersonal skills and excellent written and verbal communication skills
  • Strong problem solving skills
  • Strong team player attitude; willingness to help team members as needed
  • Flexibility to meet changing business needs
  • Proven ability to work effectively under pressure
  • Proven ability to investigate issues and pursue goals and objectives until achieved
