Job Description

The Grants Administrator will support the Motorola Solutions Foundation’s grantmaking activities, including the Foundation’s annual grants program supporting first responder programming and technology and engineering education.

The Administrator will support the Foundation’s Grant Manager in executing our annual grants program, ensuring that related processes, documentation, procedures, and implementation are executed professionally, efficiently, on schedule, and in a manner consistent with best practices.

Additionally, the Grants Administrator will support the Foundation’s financial activities and reporting efforts. The position reports directly to the Foundation Executive Director.

Key responsibilities include: 

Support the Grant Manager in executing the Foundation’s annual grants program

  • Review grant applications and provide grant funding recommendations based on program priorities and established criteria

  • Serve as a relationship manager for a subset of grant partners

  • Assist with grant approvals and declines process including data entry in grants management database; obtaining and filing of grant partner documentation (grant amount, program restrictions, award agreement info) for approximately 250 grants

  • Support employee grant review committees by attending, recording and guiding team grant discussions

  • Manage grantmaking database, ensuring grant partner information is current

  • Manage Foundation team inbox, responding to questions and requests in a timely manner

  • Facilitate identification of human impact stories and volunteer opportunities with grant partners

Manage the processing of all Foundation-related payments & budget tracking

  • Manage the end-to-end payment process for all grants (annual, off-cycle, disaster relief, community), ensuring payments are dispersed in an accurate and timely fashion

  • Load annual Foundation budget in grants management system and ensure adherence to budget targets

  • Serve as main point of contact for annual tax audit and preparation; liaising with accounts payable, tax preparation agency, and other internal stakeholders to ensure a smooth and accurate process

Lead data analysis and reporting efforts for all Foundation and corporate philanthropic activities

  • Lead data collection and reporting for Foundation marketing collateral, and ad-hoc requests by internal and external audiences

  • Manage and complete submissions for association surveys, philanthropic awards, and industry benchmarking on philanthropic giving and volunteerism data

Manage Motorola Solutions’ business contribution policy, approvals and reporting efforts

  • Manage company’s business contribution process, including review of proposed contributions, approval, and tracking, with an eye towards process improvement

Additional Knowledge/Skills:

  • 2+ years in non-profit development, grants administration, or corporate giving experience preferred

  • Experience with grants programming, specifically in reviewing applications preferred

  • Experience with grants management and non-profit financial reporting best practices preferred

  • Proficient in Microsoft Excel and use of CRM database, preferably CyberGrants
