Location: Chicago or San Francisco ( Hybrid in either location)

Our Global team within Envoy is now seeking a Global Case Assistant, Consular Services is responsible for directly processing consulate-based immigration applications around the world for Envoy clients. Where an application for any consulate-based visa OR a document services request arises from a client, the Global Case Assistant, Consular Services is responsible for preparing, filing and guiding on that process to clients directly.
Reporting to the Immigration Manager , as our Global Case Assistant, Consular Services, you will be required to:
- Respond to all client correspondence per current service level agreements (SLAs)
- Ensure maintenance of client and internal records via use of the case management system and other internal systems in real time
- Prepare and coordinate business, tourist and work visa applications for filing with consular entities
- Procure vital documentation from appropriate Government authorities
- Prepare and submit US passport applications
- Legalize and apostille documentation requiring authentication
- Collaborate and work closely with Global Case Managers on consular aspects of work authorization matters
- Attend and participate in client calls, as needed
- Accurately bill all client matters as per company policy and protocols
- Work with outside vendors to submit/compile visa applications and legalization/apostille requests
- Monitor consular Immigration trends/developments and update impacted clients and internal stakeholders, as needed
- Other duties as assigned
In order to apply for this role, you will need to possess the following skills, experience, and qualifications:
- 18+ months of experience working in Consular Services/Consular case processing
- Ability to interact and communicate clearly and effectively with clients and team members
- Provide exceptional customer service to clients
- Ability to work independently and take ownership of cases
- Ability to remain calm under pressure and work under tight deadlines
- Proactive and resourceful in meeting client needs and/or changing immigration regulations and company policies
- Strong proficiency with MS Office Suite
- Proven track record of managing multiple cases simultaneously
- Excellent time management, organization, and multi-tasking abilities
- Precise attention to detail
- Strong desire to learn and excel in dynamic growing practice
