Job Description
Human Resources LOA Operations Specialist
Responsible for managing the overall LOA process. Provides information, interpretation, guidance, and consultation on escalations that may arise as a result of an LOA. Collects, organizes, interprets, and verifies internal customer needs and translates them into business policies, procedures, and practices. Responsible for vendor oversight on all cases to ensure program compliance with state and federal regulations as well as company policies. Enhances the overall Leave of Absence customer experience by providing excellent, efficient, and courteous service. Manages day-to-day vendor activities, including data governance and quality initiatives.
Responsibilities
Effectively manages highly complex LOA-escalated cases from all levels within the organization and Human Resources. Responsible for all aspects of complex ADA process and outcomes in association with Leave of Absence, including interactive dialogue with employee, manager, and employee relations representative. Partners closely with the vendor, manager, employee relations, and legal (as needed) to evaluate and research issues regarding complex LOA cases. Serves as a resource to local management in addressing LOA matters. Coaches and provides guidance to non-exempt team members regarding standard LOA cases.
Strengthens the alignment between Discover and vendor processes to achieve greater efficiency and lasting effectiveness. Engages in status calls with vendors to monitor metrics and improve quality. Standardizes communication methods between Discover (employee, manager, and HR) and vendors to improve response time and quality. Meets regularly with vendors to identify root causes of case management errors, address gaps, and improved processes.
Responsible for auditing leave records to ensure accuracy, resolving escalated payroll inquiries, and works closely with payroll to ensure the LOA components of the employee’s pay is accurate. Responsible for ensuring PTO, PPL, and LOA time is properly reflected in the timekeeping system through regular audits. Validates workday status while on leave by utilizing zero hours report and security reports and make updates as necessary. Serves as the subject matter expert of the daily vendor files, including payroll, status, and eligibility feeds. Responsible for any updates to leave-related vendor files and works with Workday, Vendor, and HRIS to ensure feeds are timely and accurate.
Leads ongoing procedure development and maintenance to ensure compliance with legal and DFS standards. Responsible for maintaining central repository of all internal and vendor-related documentation. Responsible for assessing and improving LOA-related content on myHR as well as correspondence with the vendor. Drives consistency in the HR approach and practices within various locations. Identifies process improvement opportunities within LOA delivery, both internally and externally, and moves them into production. Participates in cross-functional process improvement initiatives and projects to drive the achievement of business results.
Minimum Qualifications
At a minimum, here’s what we need from you:
H.S. Diploma or GED
Bachelor's Degree in Human Resources, Business Administration, or related field
6+ years of experience in Human Resources, or related field
Preferred Qualifications
