Job Summary

The Office Administrator supports SMS Assist by providing administrative assistance and/or front desk coverage.

 

Responsibilities

Front desk

  • Provide front desk coverage, ensuring visitors have a pleasant and easy front desk experience
  • Greet visitors/clients and inform the SMS Assist contact of arrival

 

Compliance

  • Ensure building policies and procedures are followed by SMS Assist and its employees

 

Supplies

  • Manage Certificate of Insurance (COI) to allow service, maintenance and larger deliveries into the building
  • Monitor supply levels and communicate shortages that need to be ordered
  • Provide support for general appliance maintenance/repairs
  • Facilitate office chair repairs/replacements with Thomas Interior Design
  • Stock and maintain inventory of coffee, tea, and other kitchen-related items daily
  • Deliver supply requests via our e-mail ordering system

 

Aids employees

  • Distribute supplies to employees during daily one-hour sessions
  • Deliver packages and mail to co-workers.
  • Create New Hire kits for new employees.
  • Aid with moving and sorting of supplies, objects, etc. as needed.
  • Assist employees in resolving vending machine issues, lost product, etc.

 

Administration

  • Maintain the Office Services shared drive folder in order to better organize particular files, charts, etc. between the rest of the team
  • Upload up-to-date seating charts and other office services related documents.
  • Assist with the set up and break down of meetings/rooms
  • Assist in mail sorting
  • Other General Administrative duties

 

General

  • Foster a positive team environment
  • Ensure confidentiality of all internal and external data
  • Perform ad-hoc projects and other duties as assigned

 

Qualifications

    Minimum Qualifications

  • 1-2 year’s work experience

 

    Other Relevant Qualifications

  • Bachelor’s degree or equivalent experience
