Position: The Office Administrator will play a pivotal role in building and supporting our team and office in Chicago. You will be responsible for a wide range of tasks from daily operations in the office to foundational People Team initiatives. In this role, you will manage relationships with vendors and support the needs of the Chicago office by fostering an environment for them to do their very best work. You will also assist in special projects and provide administrative support to the People Team and our Director of Engineering in Chicago.

 

Your day to day:

 

Office Management

 

- Keep office tidy, order, and stock supplies

- Perform accounting tasks, including invoicing and budget tracking

- Maintain an open line of communication with all departments

- Assist in setup and breakdown lunch

- Move furniture, boxes, and other heavy office equipment

 

External-facing Responsibilities

 

Assist with large and/or special meetings

- Greet and check-in visitors

- Act as the primary liaison between the company, staff, and office building management, providing information, answering questions, and responding to requests.

- Work with the Recruiting Team to support interviews happening in the office. This includes prepping interview rooms, assisting with scheduling conflicts, and creating a superb candidate experience during onsite interviews.

 

 Administrative Support / Special Projects

 

Coordinate office moves/changes, office parties, and community events.

- Collaborate with Administrative and Facilities team members to brainstorm effective department procedures and new ideas.

- Provide administrative support to our Director of Engineering in Chicago

- Collaborate with the recruiting team to act as the boots on the ground for local initiatives. 

- Work with the recruiting team and other stakeholders to logistically support local events in Chicago. (This means helping us host and partner with local events and organizations in Chicago.)

- Create an amazing first day for new employees by helping set up desks and working with our HR team to schedule/coordinate onboarding information

What you’re best at:

    • 1-3 years of office administration preferred
    • Communication - demonstrated excellent communication/presentation skills to all levels of the organization
    • Adaptable - ability to learn/flex and adapt to changing business needs 
    • Creative problem solver - ability to know the environment, and effectively use company resources to draw conclusions
    • Collaboration - ability to work within a team, across all functions, and completing shared processes/goals
    • Organization - strong time-management skills and multitasking ability
    • Motivation - a strong work ethic with a “roll-up-your-sleeves” attitude and a willingness to go the extra mile
    • Ability to lift up to 50 lbs
    • Proficiency in using Microsoft Office and Google Suite tools (Excel, Word, PowerPoint, Gmail and Google Docs)
    • Running events (providing food, drink, and basic IT support) In other words, you’re the person everyone goes to when they want to host a party.
