You are the first and last point of contact with our team members and guests each day, ensuring they are welcomed and assisted as necessary. You are the right-hand person to our executive team, using your leadership, organization, and task management skills to support their needs.Key: Consistency, Personality, Going Above and BeyondThis role is not a fully remote role. You must be able and willing to commute to our downtown Chicago office on a regular basis.Your Responsibilities:Reception- Represent CarrierDirect as the first and last face our guests see- Provide a warm and welcoming experience team members and guests in person, by email, by telephone- Support large office events, lead small office events with activities such as organizing Happy Hours, booking lunch and dinner reservations for teams and clients, etc.- Answer the phone during normal business hours (9AM to 5:30PM Monday through Friday excluding holidays)- Receive and sort packages and mail. Be Responsible for picking up mail and notices on a daily basis and redirecting to the appropriate function within the company- Coordinate and receive special deliveries including catered meals, groceries and snacks for the officePhysical Space- Research, coordinate, and schedule office and equipment vendors including building contractors/inspections, maintenance, installation, and deliveries.- Coordinate and manage the maintenance of our kitchen equipment, meeting spaces, and team members hardware including loading and emptying the dishwasher, cleaning off whiteboards and organizing meeting rooms on days in office- Ensure our communal spaces are guest ready at the start and end of each in-office day- Manage company inventory including all technology hardware (e.g. laptops, monitors, peripherals), kitchen items, and office suppliesAdministrative- Data entry- Support executive team members with email maintenance, appointment setting, travel arrangements, and expense processing- Prepare memos, emails, invoices, reports, and slide presentations- Support internal auditsPeople OperationsSupport the People function periodically with administrative tasks, such as (but not limited to):- Assisting with recruitment by helping to schedule interviews, liaise with hiring managers- Onboarding of new team members - Helping with the scheduling and coordination of internal team meetings, social events, etc.- Ordering and distribution of employee swagRequirements:- Demonstrated administrative support experience (1+ years)- Strong and clear communication skills both written and verbal, and an ability to converse easily with anyone and everyone- Willingness to take on and support any and all responsibilities that contribute to a wholesome stakeholder experience- Demonstrate competence and discipline consistent with the requirements of the role- Commitment to paving the path to resolution for key work projects- Proven ability to multitask and work well under pressure- Strong familiarity with Google software (GCal, GDocs), Apple hardware, expense management, and travel coordination softwareWhy Work Here:Our values are go the extra mile, do the right thing, speak your truth, stay hungry and curious, and be cool, no ego.
