Office Management at IMC combines high performance administrative support to the firm as a whole, being the front of house at reception, along with a host of broader ad hoc project tasks.

IMC is looking for a friendly and professional Office Assistant to join our motivated and growing Chicago team.  As the face of the business with a can do attitude you will relish the opportunity to take ownership of the Front Office. You will also be a key culture ambassador and play a pivotal role in building and maintaining company morale.

As an Office Assistant you will:

• Be responsible for the scheduling and management of meeting rooms, including organizing catering and ensuring rooms are always clean and tidy.
• Assist with office-wide travel coordination and bookings.
• Provide administrative support to the Office Manager and Executive Assistant as required.
• Consistently maintain office snacks, beverages, and stationery supplies.
• Continually look for and suggest ways to increase efficiencies for front office processes.
• Coordinate campus recruitment efforts including keeping stock of all branded giveaways, ensuring each campus/venue has sufficient collateral for each event, arranging on-site vendors for interview days.
• Play an integral part in both the new starter and leaver processes.
• Help coordinate and attend both internal and external events.
• Ensure that all guests including visiting global employees and candidates have a pleasant overall experience.

Who you are:

You will have required administration skills and experience including:

• Prior experience on reception, customer service, and travel booking in a corporate setting
• Good communication and interpersonal skills
• Impeccable presentation
• Excellent time management
• Excellent phone manner
• Computer literacy
• The ability to work without supervision in a faced paced dynamic environment
