Office Coordinator

FourKites is looking for an energetic, motivated team player who has an inquisitive nature with a passion for interacting with others. As the Office Coordinator, you will be the go-to team member within the in-person office to inform the Talent & Development team’s decision-making by engaging with employees, and supporting day-to-day interactions to impact our teammates in meaningful ways; you have a bias for action and are customer obsessed. This role reports to the Talent & Development Manager, People Operations, and supports the Talent & Development team on our mission to continue forging the path of equitable growth at FourKites.
The Facilities Coordinator role is 100% in-person within our downtown Chicago office space, overseeing the FourKites office reception desk.
Key responsibilities:
- Coordinate in-person office space including reception desk, visitor logs, vendor and building management interactions, inquiries, employee arrangements, and overall organizational office operations
- Manage COVID response protocols including on-site testing vendors, vaccination tracking and related systems
- Maintain cleanliness of shared spaces in office including kitchen, meeting rooms, offices and other areas
- Organize requests, supplies and materials ordering, and ongoing maintenance of office
- Support coordination of employee events, group gatherings, travel and org-wide communication
- Support company-wide newsletters and engagement opportunities
- Assist with employee inquiries related to facilities, HR, policies and procedures
- Assist in general Talent & Development tasks including tracking, reporting and projects related to employee records and process management within HRIS
- Elevate our HR department brand internally by demonstrating preparedness, intelligence, follow through, positivity and integrity at all times
Preferred Qualifications
- 1-2 years of experience in an office environment with a customer service focus
- 1-2 years of experience engaging with a range of stakeholders including employees, leadership, clients and visitors
- Experience with Microsoft Office, Google Suite and general ability to navigate technology systems and equipment
- Must be organized, accountable and detail-oriented with the ability to juggle multiple projects and work well under deadlines
- Excellent communication, project management, critical thinking and collaboration skills
- Professional, reliable, and results-oriented
- Ability to lift up to 50 pounds and move large objects such as office furniture
- Ability to stand and to walk for extended periods of time
