Who We Are Looking For:

Fooda is hiring an Office Coordinator who will be the face of Fooda’s Chicago headquarters. This team member will welcome visitors, ensure office supplies and break rooms are always stocked, plan and execute in-office events including new hire orientation, provide general office and HR admin support, and help to create a comfortable, clean and organized work environment.

To succeed in this role, the ideal candidate must be self-motivated, ambitious, organized, possess strong time management skills, attention to detail and meet critical deadlines. For this person no job is too big or too small. We are looking for an outgoing self-starter who has the ability to work independently as well as a member of project teams.

What You Will Be Doing:

  • Arrive early each day to ready the office for the day! Set and adhere to a daily schedule to ensure the common spaces and conference rooms are tidy and set up and the first pots of “joe” are made.
  • Greet all guests who arrive at Fooda headquarters and help to make them comfortable including getting them coffee or water. Coordinate with hosts to ensure visitors are on the building guest list.
  • Monitor and maintain the stock levels and inventory for office and break room supplies and submit purchase requests when necessary.
  • Coordinate and execute new hire orientation (Fooda Welcome Week) with monthly classes of new hires, including helping to coordinate travel and hotel accommodations, catering, and communications.
  • Receive and distribute incoming mail and packages.
  • Manage facilities issues and solutions, including coordinating with property management and third-party contractors.
  • Take ownership and pride in the office space, taking on tasks yourself to ensure high level of cleanliness and order.
  • Oversee planning and logistics associated with office events and meetings.
  • Complete HR administrative duties as assigned with discretion and high attention to detail.
  • As requested assist with executive travel, scheduling and expenses.
  • Additional duties may be assigned as necessary.

What You Should Already Have:

  • High School Diploma (Bachelor’s degree preferred)
  • 2+ years’ experience in office administration
  • Strong organizational and time management skills
  • Excellent verbal and written communication abilities
  • Proficiency with MS Word and MS Excel
  • Strong sense of discretion and professionalism
  • Flexibility to adjust to dynamic work environment
  • Friendly, warm personality

This position is nonexempt, and reports into the Fooda People (HR) department.

Our office is a convenient 6 minute walk from Ogilvie and Union train stations and a 3 minute walk from the Washington/Wells Brown line stop.
