Productive Edge is moving offices! As we prepare to welcome the PE Team back to an in-person work environment at our new Chicago headquarters, we are in need of an Office Manager who can keep us organized, champion a masterful return, coordinate with vendors, and think of cool ideas to help get our new office off to a bright start! Productive Edge is looking forward to hosting about half our employees in the new office, and half in a WFH/hybrid environment. We need help making sure our new office is properly equipped, and communication is solid between our new Chicago home, our remote employees, and our international office locations! The Office Manager will be responsible for ensuring our team is feeling supported and cared for, that our culture is well represented the moment someone walks in the front door, and that our office maintains a positive, high-energy vibe. The ideal office manager is positive, energetic, and organized; ready to meet the deadlines of a fast-paced, high-growth tech consultancy.

If you have the desire to constantly learn, are always willing to help, and possess a collaborative spirit, we’d love to hear from you! This is a Chicago-based role that requires you to be in our Chicago office on a mostly full-time basis.

While we’re still working from home, your responsibilities include:

  • Be the key point of contact for all vendors regarding office opening and operations 
  • Assist with return-to-office planning and ensuring the safety of our employees when we are back in office
  • Explore and implement perks within the office that are thoughtful and showcase the culture of the company
  • Be the eyes and ears of the pulse of our employees - you’re thinking about what people want and need before they even know it
  • Assist with additional administrative & facility tasks
  • Work with HR and IT teams as needed

Once office life resumes, your responsibilities will also include:

  • Anticipate the needs of the team - Snacks are ready as people start the day, the kitchen is clean and well stocked, meeting rooms are clean, organized, and stocked with supplies
  • Manage the front desk, greeting all guests, ensuring they are comfortable and properly taken care of, guaranteeing a positive lasting impression
  • Set up a best-in-class hybrid work environment to ensure our team members that are remote are well equipped to communicate and work with their in-office teammates
  • Help co-organize offsites, happy hours, and events for our employees
  • Work with our HR team & Experience team to onboard our new team members in a way which they feel welcomed and quickly feel a part of the PE Team
  • Book travel as needed for employee client/sales trips
  • Ensure cleaning protocols are adhered to by both vendors and employees
  • Act as a point person for vendors and receiving and distributing all mail & packages (including USPS, FedEx, UPS), and set up outgoing shipments as needed
  • Serve as a point of contact for visiting remote employees and event guests
  • Manage any health & safety plans as needed
  • Assist with all space planning and seat mapping by maintaining master seating chart
  • Learn and help manager the timesheet management system
  • Coordinate Lunch & Learns - Work with teams on content and order lunch for office

  • You are kind, empathetic, and enthusiastic - a people person who likes to work closely with people day in and day out
  • You are a strong communicator - both verbal and written – and you thrive in communicating and rallying large groups of people
  • You’ve successfully run other offices, groups, or companies and have a proven track record and you are excited to share your talents with our team
  • You are tech savvy and experienced with AV and IT equipment
  • You are a true team player – you get joy from removing burden and stress from others, no matter how small or big the task
  • Ability to manage inventory and maintain a basic budget
  • Love exploring Chicago, and are ready to start throwing events on people’s calendars to help get them socialized!
