Office Services Coordinator

POSITION SUMMARY:
The Office Services Coordinator is responsible for general mailroom duties including picking up mail from the Post Office, opening, sorting and preparing documents for imaging, collecting outgoing mail, managing inventory, and restocking common office supplies. The ideal incumbent will have good computer skills, be well organized, with sharp attention to detail and can work well under pressure.
ESSENTIAL JOB FUNCTIONS:
- Pick up and deliver mail to the Post Office
- Sort incoming mail from the Post Office by checks, priority mail (Federal Express, DHL, UPS, Certified US Mail, Registered US Mail, Express, and Priority), and regular mail (including any mail leftover from the previous day)
- Log incoming priority mail and deliver overnight mail
- Gather incoming faxes and interoffice mail to be delivered as appropriate
- Check for outgoing mail throughout the day, add postage and deliver to the Post Office
- Use the inserter machine to fold and stuff letters into envelopes
- Maintain the file room where client files are stored until they are boxed and stored off site
- Complete inventory of supplies in the kitchens and common supply areas to determine items that need to be ordered and restocked
- Maintain a positive work atmosphere within the team and with other internal departments
- Other duties as assigned
EDUCATION, EXPERIENCE AND SKILLS REQUIRED:
- High School Diploma or equivalent
- Valid Driver's License required
- 1 -3 years of applicable experience
- Detail-oriented, organized, and dependable
- Ability to type, enter data and perform other duties quickly and accurately
- Basic knowledge of Microsoft Office (Excel, Word, and Outlook)
- Experience with Salesforce CRM preferred
- Experience with operating mail room equipment, including postage meters, mail sealers and fold/insert machines
- Possess a client service mindset with strong verbal and written communication skills
- Work independently and be proactive seeking additional work when time allows
- Be analytical, able to problem-solve and propose resolutions
- Ability to meet established department service levels
- Proven ability to multitask and prioritize multiple tasks
- Be a team player with a positive attitude
- Demonstrate honesty and integrity
