We are seeking an Assistant Chief of Staff to join our rapidly growing global workforce in Chicago. This position will report into the Chief of Staff and manage day-to-day business operations.

Responsibilities:

  • Collaborate closely with the Chief of Staff to ensure consistent business operations
  • Oversee the implementation of operational policies, procedures, and projects
  • Ensure project documents are complete, current, and stored appropriately
  • Manage and prepare capital project and operating budget and variance reports
  • Create and update processes to allow our team and the business to work more efficiently
  • Establish and oversee contracts and providers for services including security, parking, janitorial, cabling, movers, furniture, and technology
  • Vendor management
  • Oversee office management and administrators
  • Responsible for strategic initiatives to further develop, refine, and improve office maintenance and operations
  • Coordinate upcoming buildout of office space and construction management
  • Financial analysis and accounting as needed  
  • Ad hoc projects as needed

Requirements:

  • Bachelor’s degree in relevant field such as Business, Finance, Real Estate, etc.
  • A minimum of 5 years professional real estate / facilities experience required - a significant portion of which should demonstrate success in managing complex facilities and rapid growth
  • Strong financial and administrative skills
  • Strong knowledge of Microsoft Office with Excel proficiency a must
  • Familiarity with access control, lease management, and vendor management
  • Ability to communicate and craft presentations appropriate for leadership and stakeholders
  • Results and detail oriented, cross-functional leadership abilities
  • Excellent written, verbal, and presentation communication skills
