West Monroe Partners is looking for an energetic, professional Receptionist to be a part of our friendly, hardworking team. The ideal candidate will be able to work in a fast-paced environment and handle multiple tasks simultaneously. A positive, can-do attitude is a must, as this role is truly an ambassador to of West Monroe to everyone that walks through our doors. We are searching for someone who will position themselves as a steward of not only out Chicago office, but the West Monroe brand.
The receptionist is expected to arrive promptly and begin operations at 8:00 a.m. and close the office daily at 5:30 p.m. The successful candidate will perform a variety of tasks including but not limited to:
• Sets a positive tone for all employees, candidate, and visitors to the office
• Operate multi-line phone system and be able to transfer phone calls to correct person
• Open the reception area (8:00 AM) and close the reception area (5:30 PM)
• Act as a West Monroe ambassador to clients and guests by welcoming them in a professional manner to ensure that they are taken care of upon arrival in the office
• Schedule training rooms for meetings being held within the office as well as conference space for meetings being held offsite
• Order catering for large meetings within the Chicago office
• Manage the FedEx account, including sending out packages on behalf of the office and distributing incoming mail as it arrives
• File occasional invoices and accounts payable documents for office expenses
• Route legal documents for the office through DocuSign in a timely manner
• Contact the office of the building for any maintenance issues with facility work orders
• Assist with new hire/termination system profiles and building access management
• Responsible creating mail/welcome folders for new hires as sending creating new hire welcome slides for Digital Signage
• Track Key Account Program (KAP) client onsite meetings/events, notify CEO and Chicago Office Leader as needed
• Assist with quarterly meeting planning and production
• Ad hoc support for the internal Shared Services Team, including HR, Finance, QA, Legal, and Marketing
• Assist in preparing interview packets and registering guests for entry into the building
• Various other job tasks as they are assigned
Qualifications:
• High School Diploma, GED, Bachelor’s Degree or equivalent experience
• Minimum 2-years of customer service experience; previous receptionist experience preferred
• Excellent phone etiquette
• Excellent verbal communication skills
• Positive attitude in an exciting and sometimes hectic environment
• Punctual and ability to keep track of multiple tasks simultaneously
• Able to work with minimal supervision
• Handle sensitive information in a confidential manner
• Should be customer service driven
• Knowledge of and experience using MS Office (Word, Excel, Outlook, PowerPoint, SharePoint)
• Possesses creative ideas and it willing to drive them forward to enhance office culture
• Experience with SurveyMonkey, DocuSign, and Salesforce, preferred but not required
• Highly organized
• Ability to lift a minimum of 20 lbs.
