The standard hours for this position are Monday through Friday, 8:30am – 5:30pm.  However, this individual should be flexible as there will be instances where they may be needed earlier/later depending on meeting schedules.  

CANDIDATE REQUIREMENTS:

The Receptionist/Administrative Assistant should have at least one-year experience as a front-end coordinator, receptionist or administrative assistant.  The ideal candidate has a sunny disposition and willingness to pitch in wherever needed.  He/she must maintain the highest level of professionalism at all times, and be able to handle a wide range of responsibilities. The following requirements are essential for this position:

  • Thorough understanding of maintaining proper inventory of office and kitchen supplies

  • Experience with Microsoft outlook for managing conference room schedules

  • Strong computer skills including Microsoft Outlook and Word

  • Superior oral and written communication skills

  • Strong problem-solving skills, exhibiting good judgment when making decisions

  • Self-motivated, possessing a positive “can-do" attitude

  • Knows when/how to be assertive to get things done

  • Quick to respond to requests and completely dependable on follow-through

  • Demonstrated ability to handle sensitive, confidential information

  • Versatile individual with a high standard of integrity

  • Ability to maintain composure in times of stress or with unexpected deadlines

    PRIMARY RESPONSIBILITIES:

  • Conference room calendar management

  • Clerical duties (answer phones, data entry, filing, mail distribution, preparing
    shipments/FedEx)

  • Interact with service providers (hotels, car service, etc.)

  • Support executive team with other duties/projects as required

  • Oversee the front end of the office and ensure a positive, professional experience for meeting guests
    & customers Escort candidates, meet & greet guests, set up meetings

  • Organize & execute events, such as lunches, dinners, etc.

  • Manage day-to-day running of office

  • Maintaining proper stock of office supplies

  • Order sundries, manage snack program, stock & maintain kitchen/Town Hall

  • Manage relationship with Crafty (Kitchen provider)

  • Register scheduled visitors with building security

  • Receiving of guests & visitors; door & telephone

  • Set-up & reset of conference rooms for meetings
