The Resource Manager is responsible for ensuring that our resource supply keeps up with demand across all client accounts.  They are a key piece of our internal process, and our teams look to this role to assist in matching resource skills, availability and knowledge to the work at hand through the centralization of resource management. 

Reporting to the Director of Operations, the Resource Manager is integral to our ability to efficiently execute across all projects and accounts, by working to ensure that all resources are fully optimized.  They also display the ability to shift priorities alongside moving projects and constantly changing timelines.

Responsibilities

Day-to-Day

  •  Work with project managers, account team leads and functional leads to assess talent needs (full time employees and variable freelance) based on the current and projected revenue outlook and estimated project workload
  • Manage the sourcing of freelance resources, freelance budget and variable talent database
  • Partner with external suppliers/HR function to ensure freelance work is provided both timely and cost-effectively
  • Manage confidential/sensitive information for contractors or relevant third parties
  • Monitor day-to-day client project activities, workload and resourcing; identify potential instances of underutilization and actively work with account team and other leads to address and resolve those issues
  • Maintain constant knowledge of current and upcoming client projects and business development activities as they relate to resourcing
  • Track availability of all agency staff members
  • Manage and resolve resource scheduling conflicts
  • Understand and monitor all internal project-related resource needs, and help prioritize along with client needs
  • Match team members against projects and workload based on specific skill sets needed
  • Anticipate and prioritize capacity needs over time

Tactical

  •  Manage full time employee and freelance onboarding/off-boarding (timesheet training, expenses) and corresponding data entry in Mavenlink
  • Manage talent “Skills” in Mavenlink
  • Manage creation of new employee Task Calendars in Mavenlink
  • Ensure staff knows when freelancers start, and when their contract ends
  • Run weekly resource meeting(s), daily freelance stand-ups and facilitate resourcing issues / conflict resolution with project managers and appropriate account team leads and functional leads.
  • Re-align/move assigned hours to available resources coming out of resource meetings, as necessary
  • Provide accurate status and reporting of current and projected resource supply and demand as needed
  • Partner with HR to develop staffing plans for the near and medium term
  • Prepare reports showing utilization trends and forecasts across the agency
  • Responsible for maintaining up to date weekly time tracking, per the Agency’s time tracking policy
  • Recommend process improvements for Resource Management

Qualifications

  • Bachelor’s degree
  • Background and experience in creative agency resource management required
  • 8-10 years of total work experience
  • Minimum of 3-5 years of experience in a resource management role
  • Knowledge of Mavenlink is a plus
  • Must have the ability to understand the ins and outs of agency functions ranging from Project Management to Creative and Technology functions
  • Goal and results oriented, success in managing through ambiguity and change in a fast paced, complex environment
  • Strong analytical, strategic thinking and communication skills – the ability to synthesize, develop and present clear and concise recommendations
