Rally Health is looking for a highly motivated Workplace Experience Coordinator to join our front desk support staff at our Chicago, IL location. Rally Health’s Workplace Experience team are responsible for providing first-in-class service to all employees and visitors who step inside our office.
We service the organization by focusing on on-site services, workplace environment, office operations, and employee experience. We are models of honesty, integrity, and personal accountability. We are looking for a team player who is able to demonstrate resilience, quickly recovering from adverse
issues while maintaining composure. The ideal Rallyer for this role will be able to manage both routine tasks and larger, more complex projects with ease and autonomy. An individual who is able to thrive in both a collaborative and individually-driven environment. We are looking for someone who is
articulate, reliable and ready to roll up their sleeves. There isn’t a task you aren’t willing to take on.


Daily Responsibilities:
- Manage front desk duties, including but not limited to:
- Mail distribution
- Answering the phone (low volume)
- Receiving and distributing packages
- Checking in visitors to Rally
- Assisting with the day-to-day office operations to include:
- Fulfilment of office supplies
- Daily catering orders, food and beverage
- Work with appropriate vendor support contacts for the DC office to resolve any issues
- Liaise with building management for facility needs, as appropriate
- Manage JIRA ticket que to ensure new and outstanding requests are appropriately assigned and prioritized for the office.
- Assist in the onboarding of new Rallyers from a Workplace Experience perspective - provide the “WOW” experience for all; manage badge access, office tour, desk set-up and placement of all incoming new hires.
- Participate in and act as a representative for all site-based culture committee events; prepare presentations, assist in scheduling office events.
- Maintain office seating chart and management of space, as well as inventory (office supplies, swag, etc.); Maintain safe, clean, and productive environment throughout the office, kitchen, and conference rooms.
- Assist with special projects and events as needed ie. birthday celebrations, happy hours, All Hands, Wellbeing and site-based events to name a few.

Job Requirements:
- Education: High school diploma/GED required, Bachelor degree preferred.
- 1-3 years previous experience required in a corporate office coordinator role; Office Management experience preferred.
- Being available to handle occasional weekend work, or after hour office vendor management.
- Availability to work 8:30am to 5:30pm 5 days a week (M-F)
- Effective communication - must be able to build strong relationships.
- A can-do attitude that is focused solely on providing top-notch customer service.
- A detail-oriented approach to the work you do and sense of urgency; multi-tasking skills are a necessity
- Possess strong work ethic and problem-solving skills with the ability to work with autonomy.
- Ability to lift up to 20 lbs.
- Experience working in GSuite (Gmail, Calendar, GDocs, GSheets, GSlides)
- Advanced knowledge in Office (Work, Excel, Powerpoint)
- Prior experience working with Atlassian products (JIRA, Wiki, HipChat)
- Project management background preferred
- Familiarity with Mac laptops and OS
