Job Description

Our Associate Captures Project Manager is a tech-savvy role to coordinate and oversee completion of numerous customer-initiated projects. This position ensures that all On Demand capture projects are assigned necessary resources (human and computing) to be completed, are properly initiated and tracked, and are ultimately delivered to clients on time and as requested. 

This role requires the ability to plan and coordinate the actions of others while also “getting your hands dirty” to complete projects yourself.  You will coordinate and track multiple projects, all of which may have evolving requirements during their lifecycle, while ensuring that expected delivery dates are met. This requires ongoing assessment of currently available resources, and proactively alerting the team when delivery of future projects could be at risk. For all projects, you will ensure that the scope is well defined and achievable. Therefore, you may have to request more detailed instructions from projects that are initially ambiguous. As you manage multiple projects, attention to detail, organizational skills, and the ability to communicate clearly will be essential. Finally, this role requires someone who is a “do-er” and finds a way to get the projects done.

While a technical degree is not required, the person taking this role must consistently applying logic and creativity to get software tools to produce required results.

During COVID, this full-time position will be a work-from-home role. In the future, we may transition back to Page Vault’s home office, located in Chicago’s active West Loop District. In either scenario, you will work with our entire team, as this role provides the opportunity to interact with virtually every aspect of the business:  Sales, Operations, Tech Development, Marketing, and Customer Success teams. It is a unique chance to participate in a high-tech startup venture and gain exposure to a variety of operational and strategic areas.

You will report to the senior management team, and you will be a frequent liaison between our business team, our tech team, and our customers.  Guidance and feedback will be provided to ensure success, but a self-starter mentality is essential for this role.

Project Management, On Demand Captures (Associate):

  • Ultimately, this role ensures that all capture projects are properly scoped, assigned resources, monitored, and delivered on time.
  • Coordinate resources across all capture projects: staff, computing platforms, software platforms, user accounts, etc.  Manage projects through use of CRM tools, spreadsheets, Kanban boards, etc.
  • Communicate frequently with internal teams, especially with our Sales team (to clarify & give updates on progress) and our Tech/Development team (to report issues and resolve them when tech help is needed).
  • Learn to run captures of webpages, using Page Vault’s proprietary capture technology, as required to complete customer requests. These captures are provided to clients who request On Demand projects.
  • Use creative problem solving to complete projects without unnecessarily distracting the tech team. Provide prompt and clear feedback to the tech team on any key software issues that are uncovered while processing a project to completion.
  • Demonstrate empathy for our customers – understand their perspective and be their advocate to ensure that what we deliver is what they expect.  Avoid any “surprises” for our customers.
  • Continuously monitor how our key software systems are working in order to estimate what can be completed within requested timelines.
  • Provide strategic feedback to the business team on frequent or high-impact issues, including the need for resources and tech capabilities. Help guide new tech-feature development based on our ongoing workflow.

 

Requirements

The ideal candidate prefers working in a small company and is a self-driven individual. The candidate is also hands-on and a tenacious problem-solver with a strong work ethic, sense of urgency, and desire to coordinate a breadth of responsibilities. We are seeking an individual who matches the following requirements:

  • Exceptional time-management and organizational skills
  • Exceptional communication skills, with a focus on details – able to clearly explain specific requirements and tasks; able to take ambiguous requests and push for clarity and specifics
  • Tech-savvy – comfortable with computers, internet terminology, and communicating with technologists
  • Passion for technology and a genuine interest in learning about web-based content and digital forensics
  • A great balance of creativity, flexibility, and desire to learn
  • Bachelors degree or equivalent background
  • Prefer 2+ years of relevant, professional working experience
