POSITION OVERVIEW

Our Resourcing team maintains the processes and internal tools that ensure all our projects are appropriately staffed with team members from our functional teams. The Resourcing Coordinator will assist with the project resourcing process, be responsible for the general upkeep of internal resourcing tools, and create key resource-related internal reports.

RESPONSIBILITIES

- Facilitate weekly resourcing processes

- Capture new resource needs for discussion

- Identify resourcing booking conflicts for discussion

- Send weekly resourcing reminders and meeting notes

- Generate reporting on key resource metrics for leadership team

- Float (Resource Management Tool) administration including:

     - Add and remove resources from Float

     - Add and remove projects from Float

     - Add newly assigned project time to Float

- Perform periodic audits of resources and projects to:

     - Ensure key data is properly entered

     - Identify resource conflicts

     - Identify resource availability

- Perform Freelancer Network care and feeding:

     - Maintain updated schedule of network member availability

     - Maintain network member contact information & ratings

- Serve as secondary line of support for time capture and project management systems updates, including:

     - Create Project Activities

     - Add resources to Project Activities

     - Facilitate time entry issue troubleshooting

- Provide reminders and enforcement of time entry deadlines

- Ownership of special projects, as determined by Resourcing Manager

SKILLS & QUALIFICATIONS

- Bachelor’s degree required

- At least 1 year of professional experience, ideally in a digital agency space

- Prior resource management experience a plus

- Prior exposure to PeopleSoft, Float, or other similar Professional Service Automation tools

- Experience with MS Office 365, with strong MS Excel capabilities

- Excellent communication skills; ability to be clear, concise, and persistent

- Proactive problem-solving abilities to deal with challenging deadlines and priorities

- Highly detail oriented and able to work autonomously

- Strong multitasking capabilities

- Ability to thrive in an environment that values an entrepreneurial spirit

- Strong sense of teamwork and collaboration across various disciplines

Location

Our office is located downtown Chicago at the corner of Franklin & Monroe streets. However, we're currently working together remotely.
