THAT’S LOVELY, BUT WHAT’S THE JOB?
We’re looking for an incredibly detail-oriented, get ‘er done, kind of person with a head for numbers and some bookkeeping experience to join our finance team. Our business is growing significantly each year, and that means that we’ve got more money coming in and going out than ever before. We need someone to help shepherd all that money on its way, without losing a single cent. Specifically, your responsibilities could include:
Accounts Receivable
- Generate invoices in a timely manner, within 24 hours of invoice trigger.
- Email invoices to clients upon invoice approval.
- Run weekly accounts receivable reports, updating the team on delinquent accounts.
- Receive payments and manage collections on delinquent invoices.
- Assist in finding efficiencies in our current invoicing process.
- Assist in managing our sales database (Salesforce) as it relates to invoices and maintain/troubleshoot invoicing process across platforms.
- Submit supplier request forms as needed.
Accounts Payable
- Collect invoices and review for accuracy. Follow up with vendors to resolve discrepancies.
- Obtain invoice approvals from department manager and enter invoices into Intacct.
- Print checks, obtain signatures and mail bill payments.
- Issue wires or electronic check payments as needed.
- Manage auto-payments and enter into Intacct.
- Assist in researching alternative bill pay systems that increase efficiency.
Expense Processing
- Manage expense reporting software (currently, Expensify) and update as needed for new expense accounts.
- Process and track employee reimbursements.
- Reconcile credit card transactions.
Banking
- Process check deposits and review banking transactions daily for wire postings.
- Reconcile bank accounts.
- Transfer funds as needed.
Other
- Maintain digital and paper copies of all A/R and A/P records.
- Assist with annual financial audit.
- Calculate commission payments.
AND WHAT KIND OF A PERSON ARE YOU LOOKING FOR TO FILL THIS ROLE?
- The obvious qualities: whip smart, professional, responsible, dedicated, friendly, flexible, patient, and enthusiastic.
- Organization savvy. You need to be someone who thrives on having lots to do, loves checking things off of lists and manages to get things done efficiently. We don’t want rigid and inflexible organizational skills, just a solid ability to arrange and execute tasks effectively.
- Love of numbers. It’s an accounting position, so skill and ease with numbers is included in the price of admission.
- A mind for detail. Frequently, there will be a lot of equally important tasks to juggle in a short timeframe. You must be someone who notices when something doesn’t seem quite right, or a key piece of information is missing. You need to notice all those things that someone who was only thinking about the “big picture” might miss. In other words, you need to be the “dot every i and cross every t” kind of person.
- Solid written and oral communication skills. You will work with pretty much everyone internally and have lots of contacts externally. We use e-mail as our primary form of communication, so being a good, clear writer is critical. People here are curious and like to be kept in the loop on things.
- The ability to work independently or as part of a team, depending on the nature of the work you are doing.
- Good budgeting and research skills. You will need to find good vendors for various services at fair prices. This will involve researching, comparison-shopping and ultimately supervising the service and product to ensure that we are getting what we paid for.
- General computer skills. As we mentioned, we are heavy users of e-mail. We also use a group-scheduling calendar program and a variety of other standard professional software. If you are not comfortable composing at the keyboard and flying around the Internet in search of info, then this is probably not the right environment for you.
- A sense of humor is a must. Interesting or unusual hobbies and tastes in music is a plus.
SO WHAT KIND OF EXPERIENCE SHOULD YOU HAVE?
- Minimum one-year work experience in a related position.
- Strong preference for experience with Intacct.
